Job Location: Clark Outsourcing - Building 35 Philexcel Business Park, Clark Pampanga
Quick Rundown:
This position provides administrative and technical support for procurement, inventory, and warehouse operations. Responsibilities include processing purchase requests, coordinating with suppliers, monitoring deliveries, handling shipping and receiving activities, and ensuring accurate documentation and timely processing of company requirements in compliance with procurement procedures.
What You’ll Do:
Procurement and Purchasing
Prepare and process purchase requests, purchase orders, and other procurement-related documents.
Source suppliers and request quotations for products and services.
Compare pricing, specifications, and delivery timelines to support cost-effective purchasing decisions.
Coordinate with suppliers and vendors regarding orders, deliveries, and payment concerns.
Monitor the status of purchase requests from initiation to completion.
Inventory and Delivery Monitoring
Track incoming deliveries and ensure items received match purchase orders and specifications.
Coordinate shipment and receiving activities for procured materials and equipment.
Inspect deliveries for damages, discrepancies, or shortages and report issues immediately.
Process returns, replacements, and damage claims with vendors or suppliers when necessary.
Documentation and Record Keeping
Maintain accurate procurement files, records, and databases.
Prepare reports related to procurement activities, delivery status, and supplier performance.
Ensure all procurement documents are properly filed and updated.
Coordination and Communication
Coordinate with internal departments regarding procurement needs and delivery schedules.
Maintain professional relationships with suppliers, vendors, and service providers.
Assist management in negotiating with suppliers for favorable pricing and terms.
Compliance and Administrative Support
Ensure procurement activities comply with company policies and procedures.
Assist in monitoring budget utilization related to procurement transactions.
Perform other administrative and procurement-related duties as assigned.
What We’re Looking For:
With at least 1 year of equivalent experience in procurement, purchasing, logistics, or administrative support (Fresh graduates are welcome to apply)
Must have an understanding of internal standards, procurement policies, and operational practices.
Willing to work in a fast-paced environment and adapt to changing priorities.
Ability to work well under pressure and meet deadlines.
Able to demonstrate initiative and work with minimal supervision.
Excellent negotiation and vendor coordination skills.
Proficient in Microsoft Office applications (Excel, Word, PowerPoint, etc.).
Proficient in the preparation, creation, and presentation of reports.
Must possess a valid driver’s license and know how to drive.
Good planning, organizational, and decision-making abilities.
Physically agile with the capacity to remain active for extended periods.
Willing to work evenings, weekends, and public holidays when required.
Strong communication and interpersonal skills.
High level of accuracy, integrity, and attention to detail.
