Quick Rundown:
We are looking for a highly skilled and professional Senior Executive Assistant to work closely with the Founder/CEO as a trusted business partner. This role goes beyond traditional administrative support and involves assisting with business operations, customer and stakeholder relationships, strategic projects, and executive priorities.
This position offers significant growth potential, with the opportunity to develop into a future Operations Director or Chief of Staff role.
What You’ll Do:
Executive Partnership & Strategic Support
Serve as a trusted right-hand partner to the CEO.
Manage executive priorities, schedules, communications, and business commitments.
Anticipate needs and proactively solve problems before they arise.
Assist in decision-making through research, analysis, and operational recommendations.
Prepare executive reports, presentations, and strategic business updates.
Customer & Client Relationship Management
Act as a professional representative of the CEO and company.
Communicate directly with customers via email, phone, and virtual meetings.
Manage client follow-ups and relationship-building initiatives.
Resolve customer concerns and coordinate solutions internally.
Maintain exceptional service standards and customer satisfaction.
Support business development and account management efforts when needed.
Operations & Business Management
Assist in overseeing day-to-day business operations.
Identify inefficiencies and recommend process improvements.
Develop and document operational procedures.
Track company goals, KPIs, and departmental performance.
Coordinate initiatives across departments to ensure alignment and execution.
Project & Team Coordination
Lead and manage special projects assigned by executive leadership.
Coordinate with internal teams and external partners to ensure project success.
Monitor timelines, deliverables, and accountability.
Facilitate communication between leadership and operational teams.
Prepare project updates and executive summaries.
Executive Communications
Draft high-level business correspondence, proposals, reports, and presentations.
Manage executive inboxes and stakeholder communications.
Represent the executive professionally in meetings and communications when required.
Ensure consistency in messaging and company representation.
Leadership Development & Growth
Gradually assume ownership of operational responsibilities.
Participate in strategic planning and leadership discussions.
Develop management and leadership capabilities.
Learn key business functions including operations, customer success, team management, and organizational strategy.
Prepare for future advancement into an Operations Director, Chief of Staff, or Executive Operations leadership role.
What We’re Looking For:
5+ years of Executive Assistant, Executive Business Partner, or Operations support experience
Exceptional English communication skills (verbal and written)
Experience communicating directly with clients, customers, or external stakeholders
Strong business acumen and problem-solving abilities
Able to act as a trusted partner to executive leadership
Experience managing projects, coordinating cross-functional initiatives, and supporting business operations
Leadership potential with the ability to grow into a more strategic operational role over time
