Senior Project Coordinator - Custom Home Builder

Location: Littleton, CO
Salary: $90,000–$100,000 DOE

Overview

We are partnering with a growing custom home builder specializing in high-end ground-up construction and full-scale residential renovations. With a proven approach to project management and a commitment to thoughtful planning, the team works closely with homeowners, architects, designers, subcontractors, and vendors to bring complex projects from concept through completion.

We are looking for a Senior Project Coordinator who is highly organized, confident, and knowledgeable in residential construction. This is a hands-on role for someone who can manage the details while also seeing the bigger picture and anticipating what needs to happen next.

What You'll Do

  • Support projects from estimating and preconstruction through construction and closeout.

  • Manage and maintain accurate project budgets, schedules of values, purchase orders, change orders, subcontractor agreements, and owner billing documentation.

  • Prepare and coordinate subcontractor billing and owner billing/draws, ensuring documentation is accurate and complete.

  • Track project costs, percent complete, commitments, and financial information in Buildertrend and Excel.

  • Prepare client-facing budgets, schedules of values, percent-complete updates, billing documentation, and change-order information.

  • Review preliminary plans, redline documents, and coordinate with architects, designers, and homeowners.

  • Develop detailed scopes of work and help identify project questions or issues before construction begins.

  • Solicit, collect, and review subcontractor bids and assist with estimating and project buyout.

  • Manage subcontractor contracts, purchase orders, and procurement through Buildertrend.

  • Coordinate material ordering and procurement to ensure materials are available when needed.

  • Support project handoffs from estimating/preconstruction to Project Managers and Superintendents.

  • Support Project Managers and Superintendents with scheduling, coordination, and follow-up, helping identify potential delays or issues; this role will not be responsible for maintaining the project schedules.

  • Lead weekly production meetings covering change orders, procurement, schedules, and outstanding issues.

  • Follow up with PMs, Superintendents, subcontractors, vendors, architects, and designers on outstanding items.

  • Communicate confidently with homeowners and project partners regarding budgets, pricing, billing, schedules, and project issues.

  • Identify problems early, take initiative, and help find solutions that protect the project, client experience, and profitability.

  • Help improve company processes and eventually train and mentor additional Project Coordinators.

What We're Looking For

  • 5+ years of experience in residential construction project coordination, project management, estimating, or a similar role.
  • Custom residential, high-end construction, or commercial construction experience preferred.

  • Strong understanding of construction terminology, plans, contracts, scopes of work, estimating, and project financials.

  • Experience with project budgets, billing/draws, schedules of values, subcontractor agreements, POs, procurement, bids, buyout, and change orders.

  • Strong Excel skills, including formulas and spreadsheet formatting.

  • Buildertrend experience preferred; similar construction software such as Procore will be considered.

  • Bluebeam experience is a plus.

  • Excellent written and verbal communication skills.

  • Highly organized and detail-oriented with strong follow-through.

  • Confident handling difficult conversations regarding budgets, pricing, billing, and project issues.

  • Ability to work independently, take ownership, and anticipate the next step.

  • Valid driver's license and reliable transportation.
