About the Role

The Administrative Coordinator will serve as a key support resource across the company's brokerage. This is a versatile role that combines traditional administrative coordination with research and project support.

The successful candidate will be comfortable managing competing priorities, communicating proactively with team members, and taking ownership of tasks from start to finish. This person will play an important role in keeping the team organized, prepared, and operating efficiently.

What You'll Do

Administrative Support

  • Provide day-to-day administrative support to brokers, leadership, and internal team members

  • Coordinate calendars, meetings, travel arrangements, flights, hotels, and accommodations

  • Assist with planning and execution of company events, industry conferences, retreats, happy hours, and office gatherings

  • Coordinate holiday gift sourcing, ordering, tracking, and mail-outs

  • Support commission and listing agreement filing and organization

  • Manage office supplies, inventory, and kitchen needs

  • Coordinate office maintenance and vendor need

  • Serve as the internal point of contact for basic technology issues and coordinate escalations when needed

Research Support

  • Run basic demographic and research reports

  • Collect and organize available property listings

  • Archive and organize industry news articles and market intelligence

  • Source property ownership contacts information using parcel data and public records

  • Assist with general market research requests as needed

Marketing Support

  • Manage tour material resources and support tour book assembly

  • Coordinate outsourced print material and signage orders

What We're Looking For

  • 3–5 years of experience in administrative positions or Executive Assistant roles

  • Highly organized with exceptional attention to detail

  • Strong ability to manage multiple priorities and shifting deadlines

  • Proactive, self-motivated, and resourceful

  • Calm and professional in a fast-paced environment

  • Strong written and verbal communication skills

  • Comfortable taking ownership of tasks and following them through to completion

  • Team-oriented with a positive, service-minded attitude

  • Strong problem-solving skills and a "can-do" approach

  • Proficient with Microsoft Outlook, Word, Excel, and Teams

  • Comfortable with day-to-day computer use and learning new systems

  • Administrative, office coordination, research, or professional services experience preferred

  • Commercial real estate experience is a plus, but not required
