The Search Coordinator owns the process and logistics layer of every active search — ensuring candidates move through the pipeline smoothly, on time, and with a high-quality experience, while the consulting team focuses on assessment, client relationships, and strategy.
This is a process and precision role. It is not a research, screening, or client-facing role.
Key Responsibilities
- Manage all candidate scheduling: interview coordination across multiple time zones, calendar invites, and rescheduling as needed
- Maintain accurate, up-to-date records in the CRM/ATS for every active search — candidate status, next steps, notes
- Coordinate the candidate communication cadence — keeping candidates informed and warm between interview stages
- Manage reference check logistics — scheduling calls, sending questionnaires, collating responses
- Support offer-stage logistics — paperwork coordination, timeline tracking, follow-up reminders
- Prepare candidate packs and interview schedules for client-facing stages
- Track search milestones and flag timeline slippage to the Head of Operations
- Maintain general process hygiene across the search pipeline so nothing is dropped between stages
What This Role Is Not
- Not responsible for candidate assessment, screening calls, or competency evaluation
- Not responsible for sourcing or headhunting outreach
- Not client-facing on strategy or search direction
Candidate Profile
- 1–2+ years' experience in a coordination role — recruitment/search coordination, RPO, corporate talent acquisition coordination, or equivalent high-volume scheduling environment
- Demonstrated ability to manage complex, multi-stakeholder diaries without error, under volume and time pressure
- High conscientiousness and strong attention to detail — this role is judged on accuracy and follow-through, not creativity
- Comfortable working across ANZ time zones
- Strong written English for candidate and internal communication
- Proficiency with CRM/ATS systems (training provided on our specific tools) and standard scheduling tools (calendar platforms, video conferencing)
- Prior exposure to executive search or professional services coordination is an advantage but not essential

- Candidates consistently report a smooth, professional, well-communicated process
- CRM records are always current — the consulting team can trust the data without double-checking
- Search timelines are tracked proactively, with slippage flagged before it becomes a client issue
