Law Firm Administrator

 Job Description:

This role is similar to a COO for a small, growing firm. The Law Firm Administrator is a key leader responsible for managing non-legal operations, ensuring smooth daily activities, and fostering a positive work environment. Reporting to the Principal/CEO, they focus on strategic planning and execution, working closely with senior leadership to support the firms growth and long-term success.

Responsibilities:

Leadership and Strategy:

  • Foster a values-driven culture and lead non-attorney staff.
  • Provide mentorship and guide company goals.
  • Partner with the CEO on strategic planning and long-term decisions.
  • Manage change initiatives and improve cross-department communication.
  • Work with the CFO on financial performance and budgeting.

Operations:

  • Optimize firm operations with efficient systems and processes.
  • Ensure legal compliance and oversee technology strategy.
  • Manage daily operations, case management, and administrative tasks.
  • Improve billing and trust/retainer processes.
  • Track KPIs and manage vendors.
  • Oversee the Potential New Client process and firm calendar.

Human Resources (as applicable):

  • Lead recruitment, retention, and employee development.
  • Manage payroll, benefits, and HR compliance.
  • Oversee onboarding and offboarding.
  • Ensure compliance with continuing education for attorneys.

Other:

  • Plan employee events and maintain a positive culture.
  • Perform additional duties as needed.


Qualifications:

Education/Certification:

  • High school diploma required; bachelors degree preferred.
  • Certified Legal Manager (CLM) preferred.

Experience:

  • 7 years in law firm administration.
  • 3 years supervising legal staff (10+ people).
  • 3 years in HR, including recruiting.
  • Experience managing a $5 million+ budget.
  • Experience in small and mid-sized organizations.
  • Experience with remote teams.

Skills:

  • Strong leadership and project management.

  • Knowledge of legal procedures and document systems.
  • Professional, organized, and detail-oriented.
  • Quick learner, with strong communication skills.
  • Proficient in Microsoft Office Suite.
  • Fluent in English.

 Salary Package:

$ 160,000.00 - 180,000.00 (US Dollar)
