  • Creating the team's monthly, weekly, and quarterly reports and meeting schedule
  • Help prepare for audits
  • Provide and evaluate unprocessed data and slides for quarterly warnings and Quarterly Management Reviews (QMR).
  • Help with any ad hoc duties that the line manager requests.
  • Organize and plan vetting inspections for agents, oil companies, ship teams, and vessels;
  • As mandated by the BMA, notify the Flag State Authority following any PSC inspection on board vessels.
  • Provide OCIMF with PSC reports and, if relevant, Non-Conformance reports.
  • Update the SIRE INTERTANKO benchmarking repository;
  • Get and monitor bills and responses pertaining to SIRE, Non-SIRE, and audits;
  • Keep the officer matrix, HVPQ, Q88 data, and OCIMF reporting up to date;
  • Work with the audit team, managers, and boats to keep an eye on the tracking and closing of the Navigation, Cargo, and Mooring audit.
  • Follow up, check the contents, and upload audits, including ISM code reviews, ISPS, ELP, TMSA, and other customer/class audits.
  • Get, examine, and update incident and near-miss reports in the reporting system.
  • Gather and immediately send monthly HSEQ meeting responses to boats.
  • Create and upload the minutes of the shore team meetings to the ship management SharePoint site.
  • Keep track of HSEQ-related tracking sheets, including incident follow-up, audit dates, and LTI free dates.
  • To guarantee adequate overlap with the contract administrator, have a solid understanding of contracts and contractual administration.
  • Assist in the compilation of management reviews every three months.

Requirements:

  • It is preferred to have appropriate administrative experience in the marine industry or a diploma in business or maritime studies.
  • The ability to think critically, solve problems, manage time, and make decisions
  • The capacity to effectively and favorably react to consumers
  • Exhibits interpersonal and teamwork abilities
  • Excellent communication skills in both written and spoken English
  • Well-versed in Microsoft Office programs
