Sebenza, a first-of-its-kind Private Market Place, is seeking a highly organized and detail-oriented Business Administrator to join our AdOps team. As a Business Administrator, you will play a crucial role in overseeing the setup, monitoring, and optimization of digital ad campaigns. This position is ideal for someone who thrives in a dynamic environment and is passionate about digital advertising and campaign success.

Key Responsibilities:

CRM Management:

  • Compile and collate over 1000 email contacts in Google Contacts.

  • Create email groups, brand groups, and agency groups.

  • Manage and update agency rosters, including agency names, accounts, and strategists.

  • Engage with Heads of Digital or Business Unit Heads to set up media owner presentations.

  • Maintain client address book entries and updates.

  • Conduct weekly agency and client check-ins covering media briefings, proposal requests, IOs, billing, and reports.

  • Schedule bi-monthly meetings and monthly strategy and status sessions.

Roadshows, Kasi Tours & Agency/Client Activations:

  • Manage budgets and coordinate logistics.

  • Send out invitation and itinerary mailers.

  • Collect and collate signed indemnity forms.

  • Book venues, drivers, and promoters.

  • Conduct driver vehicle and router checks.

  • Manage merchandise orders, including RSVPs, ordering, printing, collecting, and sorting.

  • Arrange Sebenza shirts, hats, and banners.

  • Provide reminders and follow-ups.

Slack Management:

  • Attend to requests, queries, and tickets on Slack.

Click-up Management:

  • Input and update sprint items and statuses.

  • Enter pipeline and sales department information into the Click-up project management system.

Decks & Collateral Management:

  • Update all decks and rate cards.

  • Share and email proactive proposals.

Development Requests:

  • Log, track, and chase development tasks.

Travel Coordination:

  • Facilitate and submit travel budgets.

  • Book flights and accommodations.

Department Recon Reports:

  • Compile reports and track against budget.

Client Onboarding:

  • Facilitate introductions of clients to finance and business teams to initiate onboarding.

  • Respond to queries and traffic information, documents, and signature reminders.

  • Onboard multiple entities

IO Requests & Trafficking:

  • Manage IO requests and trafficking for clients

Chaselist Management:

  • Send out and facilitate requests for chase lists and queries on creative assets and elements.

Mediapack Requests:

  • Send out and facilitate requests for mediapacks.

  • Degree is advantageous! 
  • 3-5 years experience level within digital ad campaign management or a similiar role.
