We are seeking a dynamic, professional, and highly organized individual to join our team as an Office Administrator. In this role, you will serve as the first point of contact for guests, clients, and team members, creating a welcoming and professional experience while providing exceptional customer service.

As the Office Administrator, you will be responsible for managing front desk operations, handling inquiries, coordinating office supplies and inventory, and providing administrative support across multiple departments, including Marketing, Finance, Human Resources, and Operations. Working Hours: Regular full-time hours: Monday to Friday, 8:00 a.m. to 4:30 p.m.

Responsibilities include but are not limited to:

  • Provide exceptional customer service while managing the daily operations of the reception area, including greeting visitors, answering and directing phone calls, responding to inquiries, and performing general administrative duties.
  • Serve as the first point of contact for guests, clients, vendors, and employees, creating a professional and welcoming experience.
  • Provide administrative support for company initiatives, including employee recognition programs, rewards programs, sponsorships, business card management, and other corporate projects.
  • Coordinate internal supply orders, including order fulfillment, inventory monitoring, restocking, and communication regarding supply requirements.
  • Maintain accurate records, files, and documentation while ensuring confidentiality and professionalism.
  • Provide administrative support to various departments as required.
  • Assist with special projects, events, and other office administration activities.
  • Perform other related duties as assigned.

  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills, with the ability to prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • Exceptional attention to detail, accuracy, and follow-through.
  • Demonstrated commitment to providing outstanding customer service.
  • Professional, friendly, and welcoming demeanor with strong interpersonal skills.
  • Ability to work independently and collaboratively within a team environment.
  • Strong problem-solving skills and a proactive, solutions-focused approach.
  • Proficiency in Microsoft Office applications, including Word, Outlook, Excel, and PowerPoint, as well as Adobe Acrobat PDF.
  • Experience using office administration systems and related business technologies.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Previous experience in office administration, reception, customer service, or a related role is considered an asset.
  • Adaptability and flexibility to support a variety of administrative functions across the organization.
