Job Title - Sales Admin
About the Role
We are seeking a highly organised and proactive Sales Admin to support the real-estate sales team. The successful candidate will handle the administrative and operational side of the sales process ensuring smooth coordination, accurate documentation, effective communication and excellent customer experience across the sales journey.
Key Responsibilities
Support the sales team in end-to-end sales processes: coordinate lead handovers, property viewings, follow-ups, and client communications.
Manage sales documentation: prepare booking forms, contracts/spas (Sale & Purchase Agreements), amendments, addendums, and ensure all required client information is captured accurately.
Maintain and update CRM/sales system with leads, client data, sales status, follow-up actions and pipeline information.
Assist with client enquiries-handling via phone, email or in-office visits: respond, escalate, schedule appointments and ensure prompt service.
Liaise with internal teams (marketing, operations, legal, finance) to ensure all elements (pricing, availability, hand-over dates, post-sale services) are aligned for each sales case.
Coordinate with brokers/agents and manage broker registration and commission tracking (if applicable), ensuring broker records and incentives are accurately maintained.
Track unit/inventory status, sales availability, change requests, cancellations and ensure system reflect latest stock status.
Prepare and distribute sales reports, sales dashboards, daily/weekly status updates to management, and provide basic analysis of sales activity and trends.
Support hand-over process: ensure client documentation, approvals, payments, site visits and delivery coordination with project/operations team.
Maintain high quality of data, file management, version control and ensure regulatory compliance (for example, real-estate authority requirements).
Assist with ad-hoc sales-related administrative tasks: meeting scheduling, briefing materials for client meetings, coordinating events or launches, generating presentations.
Qualifications & Experience
Bachelors degree in Business Administration, Real Estate, Marketing or related field.
Minimum 2-4 years of experience in sales administration, preferably in real estate/property development or relevant industry in the UAE/GCC region.
Strong organisational skills, attention to detail, ability to manage multiple tasks and deadlines.
Proficient in MS Office (Excel, Word, PowerPoint), CRM systems and comfortable with data entry and reporting.
Excellent verbal and written communication skills in English; Arabic language skills are an advantage.
Service-oriented and client-friendly: professional appearance, strong interpersonal skills, ability to interact with clients, brokers/agents and internal teams.
Ability to work independently, take initiative, and maintain confidentiality and accuracy in all dealings.
