1. Position Purpose

Assist Managing the BPA PSI function by driving a wide range of critical Product and Inventory operation functions such as monitoring production status and results, compiling order forecasts for the manufacturing report, analyzing revenue and profit performance, and managing the purchasing and inventory. This includes monitoring stock levels, tracking product movement, and ensuring accurate and timely inventory management. In addition, the position holder maintains strong communications with the management, products and sales teams to ensure alignment to the budget, and cultivates strategic relations in the market to obtain the most recent trends.

2. Key Responsibilities:

Strategic and Planning

  • Implement the BPA functional strategy in line with business vision, mission, and corporate objectives.
  • Ensure that the overall business strategy is translated into annual BPA operational business plans and the performance is monitored to ensure business plans are in line with the overall strategy.

Policy, Procedures, Process and Systems

  • Implement BPA functional policy, systems, processes, procedures, and controls covering all BPA functional areas in line with client's policies to ensure fulfilment of all relevant procedural/legislative requirements while delivering quality and cost-effective service in a consistent manner.

Compliance

  • Manage BPA compliance frameworks and programs within the BPA, ensuring alignment with local and international laws, regulations, and industry standards.
  • Establish reporting mechanisms to proactively monitor and report on risk and compliance issues within the BPA department and collaborate with senior leadership to escalate critical matters for timely resolution, while also offering recommendations for mitigation.

B. Core Responsibilities:

Purchase and Sales Inventory Management

  • Oversee the PSI operation process, ensuring timely and accurate processing of order placement.
  • Monitor and analyze Sales data, identifying trends and reflect to purchasing plan to keep optimal inventory.

Factory/Supplier Management

  • Lead the order process and coordinate with relevant stakeholders at factory/suppliers operations teams to ensure data required is provided and recorded into the system.
  • Develop and maintain strong relationships with suppliers and factories, ensuring timely and accurate communication and resolution of issues, and negotiating production to maximize sales. Regularly check and update production schedule and always share the latest correct stock availability to sales team.

Payment Management

  • Accurately and timely proceed payment to factory.
  • Develop and implement strategies to reduce payment errors, optimize payment processes, and enhance security.

Sales Record and Budget Making

  • Keep updating various data of sales and cost result/forecast for customer/model wise. And consolidate to overall performance result/forecast summary.
  • Support to make detail budget plan with providing data to Product/Sales team and close communicating with them.

Reporting and Analysis

  • Assist in the preparation and analysis of statements, ensuring accuracy and compliance with regulatory requirements and industry standards.
    Prepare and analyze reports, providing insights and recommendations to senior management.

4. Qualifications and Experience

A. Education and Specialty:

Experiences and Skills (No. of years of experience required):

  • Bachelors degree in Marketing, Business Administration, Management or equivalent is required.
  • Professional certifications related to business process management and automation can be beneficial.

Experience:

Minimum of 5-7 years of relevant experience, with preferred 1-3 years of experience in a Senior Analyst role.

Skills Required:

  • Experience in PSI control within diverse industries and markets is highly desirable.
  • Excellent proficiency in Microsoft Office Suite, particularly Excel for data analysis and reporting.
  • Excellent communication and interpersonal skills are essential for collaborating with stakeholders, managing teams, and driving change within the organization.
  • Familiarity with process automation platforms and technologies, workflow management systems is advantageous.
  • Strong analytical and problem-solving skills are crucial for identifying process improvement opportunities and designing efficient workflows.
  • Proficiency in process mapping and modeling techniques, as well as process analysis methodologies, is important.
