Job Title - Receptionist

About the Role

We are looking for a well-presented, friendly and professional Receptionist to serve as the first point of contact for our organisation. You will be responsible for creating a welcoming experience for visitors and clients, handling front-office administration, managing communications and supporting the smooth operation of the office.

Key Responsibilities

Greet and welcome visitors, clients and employees in a courteous, professional and timely manner.

Answer incoming calls, screen and direct them appropriately, take accurate messages and manage call-handling processes.

Maintain the reception area ensuring it is neat, tidy, presentable and aligned with the organisations brand standards.

Manage visitor logs, issue visitor badges (if applicable), and coordinate meeting-room bookings and arrangements.

Handle incoming and outgoing mail, couriers and deliveries; distribute to appropriate recipients in the office.

Maintain and restock reception supplies and office stationery; monitor inventory and raise requisitions when needed.

Assist with general administrative support: filing, data-entry, scanning, printing, photocopying, document preparation and maintaining office records.

Coordinate meeting room setups including audio-visual, catering (if required), refreshments and room logistics.

Liaise with facilities/maintenance and security teams to ensure reception area and office common areas are safe, secure and operational.

Support other departments and team members with ad-hoc tasks as required to ensure efficient office operations.

Qualifications & Experience

High School Diploma or equivalent; Bachelors degree in Business Administration or related field is an advantage.

Previous experience (1-3 years) in a front-desk, reception or administrative roleexperience in real estate/property or corporate environment is a plus.

Excellent verbal and written communication skills in English; working knowledge of Arabic is an advantage.

Professional, well-groomed appearance, confident demeanor and strong customer-service orientation.

Proficiency in MS Office (Word, Excel, Outlook) and general office equipment (telephone systems, printers, scanners).

Strong organisational skills, multitasking ability, attention to detail and ability to handle shifting priorities in a fast-paced office environment.

Ability to maintain confidentiality and handle sensitive information with integrity and discretion.
