Job Summary:
The role involves providing comprehensive front office and administrative support. The position requires excellent organizational skills, the ability to handle multiple tasks, and effective communication both within the organization and with external vendors.
Reception & front office:
- Greet and assist walk-in visitors in a professional and courteous manner.
- Answer and redirect phone calls as required.
- Handle incoming and outgoing correspondence, including letters, documents, and packages.
- Coordinate and manage courier services, including making bookings through relevant platforms.
- Address internal mobile-related inquiries (e.g., roaming services, data facilities, activations, etc.).
- Manage and track mobile-related monthly bills.
- Prepare ownership change letters and disposal memos as needed.
- Provide support for other administrative tasks, such as scheduling boardroom meetings.
Administrative support
- Purchase, issue, and maintain office supplies, including consumables, and stationery items.
- Liaise with vendors and external parties to obtain quotations, bills, and invoices.
- Evaluate and select suppliers based on cost, quality, and delivery time.
- Ensure timely approval of quotations to maintain smooth office operations.
- Prepare and process purchase orders for goods and services as required.
- Monitor stock levels and make timely purchases to prevent shortages.
- Inspect and organize goods upon delivery to ensure quality and accuracy.
- Collaborate with the finance department to ensure the timely processing of vendor invoices.
- Place orders for additional office supplies as needed.
