Who We're Looking For
CatalyzeX is seeking a highly detail-oriented female Order Entry Specialist with strong customer service and coordination skills, and experience in the fashion or apparel industry. This role is perfect for someone who thrives in a fast-paced environment, enjoys working across multiple teams, and can balance back-office order processing with front-facing customer communication. Candidates should have hands-on experience with order management tools, spreadsheets, and basic reporting ideally while supporting fashion, clothing, or lifestyle brands. A strong understanding of how departments like sales, production, and fulfillment work together is essential. We are specifically looking for someone proficient in reading and writing Spanish.
What You'll Do
- Accurately input and process customer orders using internal systems and e-commerce platforms
- Verify and cross-check order details (SKUs, sizing, colors, quantities, pricing, shipping, payment status)
- Monitor order status and proactively follow up on delays, exceptions, or customer concerns
- Communicate with customers via email or chat regarding order updates, tracking, and issues
- Coordinate with sales, warehouse/logistics, or production teams to ensure timely fulfillment
- Maintain and organize order records and customer information
- Compile and maintain daily, weekly, or monthly reports as needed
- Escalate and resolve discrepancies or urgent order-related concerns efficiently
What You Bring
- 13 years of experience in customer service, account coordination, or order processing, preferably in fashion, apparel, e-commerce, manufacturing, or distribution
- Hands-on experience supporting fashion or lifestyle brands
- Background using CRM systems, ERP software, or order management platforms
- Familiarity coordinating across teams like sales, production, and logistics
- Practical experience working with Excel or Google Sheets for data entry, reconciliation, and light analysis (e.g., filters, VLOOKUPs, basic formulas)
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills in English
- (Optional but valuable) Experience directly communicating with clients about order or production updates
- (Optional) Exposure to supply chain or fulfillment operations

Rates and Expectations
- Full-time Role
- Rate: $6 to $8 per hour (Negotiable DOE)
- Work Schedule: To be determined (typically U.S. business hours EST or PST)
