About the job Administrative Assistant
We are seeking a proactive and detail-oriented Administrative Assistant to join a multinational furniture company. The ideal candidate will be responsible for providing administrative support to various departments and executives, ensuring smooth daily operations.
Responsibilities:
- Assist in managing calendars, scheduling appointments, and coordinating meetings for executives and team members.
- Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate departments or individuals.
- Prepare and edit documents, presentations, and reports as needed.
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of information.
- Coordinate travel arrangements, including flights, accommodations, and transportation, for company executives and employees.
- Assist in the organization of company events, including meetings, conferences, and team-building activities.
- Procure office supplies and equipment as required, ensuring adequate stock levels are maintained.
- Collaborate with other administrative staff to support overall office efficiency and productivity.
- Handle confidential information with integrity and discretion.
- Perform other administrative tasks and ad-hoc projects as assigned.
Requirements:
- Proven experience as an administrative assistant or relevant administrative role.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in work.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication and interpersonal skills.
- Ability to multitask and work well under pressure in a fast-paced environment.
- Discretion and professionalism when dealing with sensitive information.
