We are seeking a proactive and detail-oriented Administrative Assistant to join a multinational furniture company. The ideal candidate will be responsible for providing administrative support to various departments and executives, ensuring smooth daily operations.

Responsibilities:

  1. Assist in managing calendars, scheduling appointments, and coordinating meetings for executives and team members.
  2. Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate departments or individuals.
  3. Prepare and edit documents, presentations, and reports as needed.
  4. Maintain organized filing systems, both physical and digital, ensuring easy retrieval of information.
  5. Coordinate travel arrangements, including flights, accommodations, and transportation, for company executives and employees.
  6. Assist in the organization of company events, including meetings, conferences, and team-building activities.
  7. Procure office supplies and equipment as required, ensuring adequate stock levels are maintained.
  8. Collaborate with other administrative staff to support overall office efficiency and productivity.
  9. Handle confidential information with integrity and discretion.
  10. Perform other administrative tasks and ad-hoc projects as assigned.

Requirements:

  1. Proven experience as an administrative assistant or relevant administrative role.
  2. Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  3. Strong attention to detail and accuracy in work.
  4. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  5. Excellent communication and interpersonal skills.
  6. Ability to multitask and work well under pressure in a fast-paced environment.
  7. Discretion and professionalism when dealing with sensitive information.
