Role Overview

Our client is seeking a highly organized and detail-oriented Sales Administrator to provide administrative, reporting, customer coordination, compliance and fleet support to the sales and distribution department and team.

The successful candidate will work closely with Sales, Accounts, Production, Dispatch, Distribution, and other internal teams to ensure smooth sales operations, accurate reporting, timely deliveries, proper documentation and effective customer service.

Key Responsibilities

Sales Administration & Coordination

  • Provide day-to-day administrative support to the sales team.

  • Coordinate with Accounts, Production, Dispatch, and Distribution teams to ensure smooth order fulfilment and deliveries.

  • Follow up on credit notes, stock availability, delivery timelines, and customer issues.

  • Monitor and communicate delivery delays and out-of-stock items.

  • Support sales team reconciliations and customer payment term compliance.

Sales Reporting & Data Management

  • Prepare daily, weekly, and monthly sales reports.

  • Analyze sales performance, customer trends, competitor activities, and focus products.

  • Maintain accurate customer databases, including contact details, locations, and purchasing history.

  • Ensure proper physical and electronic filing of sales documentation.

Sales Systems & Compliance

  • Manage and monitor the SENRI sales application.

  • Track sales performance against targets and ensure product costs and promotions are updated in the system.

  • Follow up on regulatory compliance requirements affecting sales and distribution, including county permits and KEBS requirements.

  • Maintain accurate records and support sales-related audits and reconciliations.

Fleet & Vehicle Management

  • Monitor company vehicles through the vehicle tracking system.

  • Analyze vehicle movement, route adherence, parking, and fuel consumption.

  • Coordinate vehicle servicing and maintenance.

  • Maintain accurate records of repairs, inspections, insurance, driving licences, speed governors, and other vehicle compliance requirements.

Customer & Product Support

  • Respond to customer inquiries and correspondence professionally and promptly.

  • Track salon product testing and coordinate feedback with the Production Supervisor and relevant teams.

  • Verify returned containers under the company's recycling/take-back programme and maintain proper records.

Required Qualifications & Experience

  • Diploma or Bachelor's degree in Accounting, Business Administration, or a related field.

  • CPA Part II or above.

  • Proficiency in Microsoft Excel and ERP/accounting systems.

  • Strong reporting, data analysis and reconciliation skills.

  • Valid driving licence.

  • Previous experience in sales administration, FMCG, distribution, or a similar environment will be an added advantage.
