Job Summary
The Farm Storekeeper & Records Clerk will be responsible for managing farm inventory and ensuring accurate records of all incoming and outgoing agricultural supplies. The role will oversee the safe storage and controlled issuance of fertilizers, agrochemicals, packaging materials, greenhouse spare parts, and other farm inputs while maintaining accurate digital consumption records to support cost control, accountability, and uninterrupted farm operations.
Key Responsibilities
- Inventory & Stores Management
- Receive, inspect, record, and safely store all incoming farm inputs and supplies.
- Maintain accurate stock levels for fertilizers, agrochemicals, packaging materials, greenhouse spare parts, and other agricultural supplies.
- Monitor stock movements and ensure timely replenishment of critical farm inputs.
- Apply proper stock rotation practices, including FIFO/FEFO where applicable, to minimize wastage and expiry.
- Conduct regular physical stock counts and investigate discrepancies.
- Input Issuance & Stock Control
- Issue fertilizers, chemicals, packaging materials, and other supplies strictly against approved requisitions.
- Enforce authorization protocols for the dispensing of agrochemicals and fertilizers to designated and certified farm supervisors.
- Maintain accurate records of all stock issued, including quantities, dates, recipients, and intended use.
- Monitor consumption trends and flag unusual variances, losses, or potential misuse.
- Ensure all store transactions are accurately captured in the relevant inventory system.
- Records & Data Management
- Maintain accurate digital and physical records of all stock receipts, issues, balances, and adjustments.
- Reconcile daily physical stock counts against digital inventory records.
- Generate daily and periodic usage reports showing inputs issued and consumed by greenhouse block or farm section.
- Maintain accurate records to support crop production cost tracking and management reporting.
- Ensure all store documentation is properly filed and readily available for internal and external audits.
- Agrochemical Store Safety & Compliance
- Ensure agrochemicals and other hazardous materials are stored safely and segregated according to approved safety requirements.
- Maintain proper labelling and organization of chemicals and other farm inputs.
- Monitor expiry dates and ensure expired or compromised products are identified and handled according to approved procedures.
- Enforce appropriate access controls to restricted or hazardous stores.
- Support compliance with farm audit and certification requirements relating to chemical and inventory management.
- Stock Audits & Operational Support
- Participate in regular stocktaking and inventory audits.
- Investigate stock variances and report discrepancies to the Farm Manager.
- Maintain records required for farm certification, compliance, and audit processes.
- Coordinate with farm supervisors, procurement, agronomy, and finance teams on stock requirements and consumption.
- Support efficient availability of inputs to prevent delays or downtime in farm operations.
Qualifications & Experience
- Diploma in Procurement, Supply Chain Management, Stores Management, Logistics, or a related field.
- At least 2–3 years' experience as a Storekeeper, Stores Clerk, or Inventory Clerk, preferably within a commercial flower farm or agricultural environment.
- Practical experience handling fertilizers, agrochemicals, packaging materials, and other agricultural inputs.
- Good understanding of stock control, inventory reconciliation, and storekeeping procedures.
- Experience using inventory management systems, agricultural ERP systems, or advanced Microsoft Excel.
- Strong attention to detail and accuracy in data entry and record keeping.
- High level of integrity and accountability, particularly in handling high-value farm inputs.
- Ability to work in a fast-paced farm environment and coordinate effectively with different operational teams.
