Job Overview

Our client is a growing FMCG distributor supplying food, beverages, and cleaning products to hotels, restaurants, catering establishments, and supermarkets. They are seeking a highly organised and detail-oriented Sales Administrator to support invoicing, order processing, customer service, and sales administration.

The role is primarily office-based and is ideal for someone who is accurate, customer-focused, proactive, and willing to grow into a broader sales and customer service role.

Key Responsibilities

  • Process daily invoices accurately based on dispatched goods, delivery notes, and Goods Received Notes.
  • Prepare sales orders, quotations, pricelists, and other sales documentation.
  • Maintain accurate physical and electronic records of invoices, orders, and customer information.
  • Track unfulfilled and partially fulfilled orders and follow up with relevant teams and customers.
  • Identify and resolve invoicing, delivery, and order discrepancies promptly.
  • Respond to customer enquiries regarding products, pricing, availability, and orders.
  • Handle customer complaints professionally and escalate issues where necessary.
  • Monitor customer accounts against approved credit limits.
  • Support stock-taking and other sales administration activities.
  • Prepare and provide timely sales and administrative reports to the Sales Team Leader.
  • Work closely with sales, dispatch, and other internal teams to ensure smooth order fulfilment and customer service.

Requirements & Qualifications

  • Diploma or degree in Business Administration, Sales, Marketing, Accounting, or a related field is an advantage.
  • 3 years of experience in sales administration, invoicing, customer service, or a related role.
  • FMCG experience is preferred.
  • Strong written and verbal English communication skills.
  • Proficiency in Microsoft Word, Excel, Outlook, and other office applications.
  • Experience with SAP is an added advantage.
