Position: Executive Assistant to the CEO

Job Overview:
As the Executive Assistant to the CEO, you will be responsible for providing high-level administrative and operational support to our CEO. You will play a crucial role in ensuring the smooth functioning of our company by managing the CEO's schedule, coordinating meetings and events, and handling various administrative tasks. The ideal candidate should have excellent communication and organizational skills, as well as the ability to work in a fast-paced and dynamic environment.
Key Responsibilities:
- Manage the CEO's calendar, schedule appointments, and coordinate meetings and events
- Prepare and organize materials for meetings, including agendas, reports, and presentations
- Handle all incoming and outgoing communications on behalf of the CEO, including emails, phone calls, and mail
- Conduct research and prepare reports as needed for the CEO
- Coordinate travel arrangements and accommodations for the CEO and other executives
- Assist with the preparation and review of various documents, including contracts, agreements, and presentations
- Maintain confidential and sensitive information with the utmost discretion
- Serve as a liaison between the CEO and other departments, as well as external stakeholders
- Handle any other administrative tasks and special projects as assigned by the CEO
Qualifications:
- Bachelor's degree in Business Administration or related field
- Minimum of 3-5 years of experience in an executive assistant or similar role
- Excellent communication and interpersonal skills
- Strong organizational and time-management abilities
- Proficient in Google Workspace, Microsoft Office, Asana, Slack, CRM systems and other relevant software (preferred: working knowledge of reporting out of Quickbooks Online as well)
- Ability to multitask and prioritize tasks effectively
- Strong attention to detail and problem-solving skills
- Ability to maintain confidentiality and exercise discretion
- Positive attitude and ability to work well in a team environment
