Job Description:
We are working closely with a local authority in Swale and Maidstone to assist with the appointment of an Executive Assistant, on a 4-months contract, highly likely to be extended at clients discretion. Please apply with your CV for immediate consideration.
Rate of Pay: £12.71- £16.37 per hour
Summary:
Swale and Maidstone Borough Council is seeking a highly organised and customer-focused Executive Assistant to support the day-to-day operation of the Maidstone Innovation Centre. The postholder will provide comprehensive administrative, customer service, and business support to ensure the smooth running of the Centre while delivering an outstanding experience for tenants, visitors, and stakeholders. Working closely with the Innovation Manager and Innovation Centre Coordinator, the Executive Assistant will act as the first point of contact for businesses, manage reception and administrative functions, coordinate meetings and events, maintain office systems, and support business engagement activities.
Responsibilities:
- Act as the first point of contact, welcoming visitors and responding to enquiries in person, by telephone, and via email.
- Provide comprehensive administrative support to the Innovation Manager and Innovation Centre Coordinator.
- Assist with onboarding new tenants, including preparation of documentation and induction information.
- Ensure communal areas and meeting facilities remain professional, welcoming, and fully operational.
- Ensure customer and business information is handled securely and confidentially in accordance with GDPR.
- Assist with marketing activities, newsletters, events, and social media communications where required.
Qualifications:
- GCSE Grade C/4 or above (or equivalent) in English and Mathematics.
- NVQ Level 3 in Business Administration, Customer Service, or equivalent relevant experience.
Essentials:
- Experience providing administrative or executive support within a busy office environment.
- Experience managing diaries, meetings, correspondence, and office administration.
- Experience maintaining databases, records, and management information.
- Understanding of office administration and customer service best practices.
- Knowledge of business support and office management processes.
- Awareness of GDPR, confidentiality, and information governance requirements.
