Responsibilities:

  • To ensure that the total fleet is maintained and available. 
  • To do site visits and inspect vehicles. 
  • Booking of vehicles and ensure services and COFS and licenses are done on time. 
  • Do the daily fleet status report as well as the National Utilization. 
  • Responsible for the capturing of the weekly kilometres. 
  • Inspect and sign the logbooks on a daily basis. 
  • Vet workshop Job Cards for costs. 
  • Spare key register update
  • Ensure that Company and Truck Rental Procedures are implemented and adhered to.
  • Responsible for FML contracts and all the billing thereof.
  • Ensure that all Etolls are recovered for monthly contracts.
  • Ensure all staff follows all company processes and procedures.
  • Handling Fleet queries and problems timeously and efficiently
  • Ensure Customer service levels are met at all times
  • Ensure that Housekeeping standards are always of a high standard.
  • Ensure Fleet is well maintained and available
  • Ensure that the ACS and Disciplinary for the department is carried out accordingly.
  • Ensure all staff is in PPE at all times according to H & S requirement.
  • Ensure that all the vehicles are recorded that have been washed and billed accordingly.
  • Ensure vehicle cleanliness check is done inside and outside the vehicles.
  • Tyres and diesel tanks must be cleaned and polished.
  • Weekly meetings should be held with the staff to encounter problem experienced.
  • Weekly stats are also required to ensure that we have an efficient operation in place.
  • Every 6 months to ensure that the sludge is disposed of timeously and in the correct manner by contacting the Oil Separation Company.
  • Ensuring that the fuel bowsers are kept clean and are in working order
  • Ensure all employees wear their PPE at all times. 
  • Ensure that stock is on hand and not wait until you run out of PPE.
  • Ensure that a monthly Micro Alert meeting is held with the fuel bureau on any issues.
  • Maintain and control the EDC / Nedfleet cards and all billing finalised at month end.
  • The Tomboy Fuel needs to be checked and signed off by the BM.
  • Dip Readings are done at financial year ends when required.
  • Dip Readings are done daily twice a day.
  • Diesel Bowser and oil room to be cleaned and oil levels are maintained.
  • Ensure that reports are maintained and submitted to Branch Manager on daily/weekly/monthly as required:
  • Quotations from the Panelshop.
  • Workshop WIP/Duration Report
  • Claims/Insurance Register
  • Breakdowns Report daily.
  • Abuse Report
  • Fines Report, ensure that all fines are redirect.
  • App ODO
  • Ensure vehicles are serviced timeously, on due kilometres.
  • Ensure vehicles are kept clean
  • Ensure vehicle cleanliness check is done when vehicles have been washed, before leaving the wash bay.
  • Ensure that bookings are made with Workshop before vehicles are sent for services, COF and repairs.
  • Follow up daily with Workshop on vehicles in Workshop to reduce lead times, meet with workshop at least once a week to verify.
  • Check vehicles when returned from Workshop to ensure that work that was quoted for was done.
  • Fleet Controller to do fleet yard inspection daily without exception.
  • Vehicles to be prepared and checked day prior to day of hire to ensure vehicles are dispatched on time.
  • Ensure Vehicles are thoroughly checked and damages are clearly indicated in Logbooks according to Logbook and Pre- and Post- Inspection Procedure before being dispatched and upon return.
  • Ensure that damages are indicated clearly in pre- and post- inspection.
  • Ensure that all accidents/incidents are reported to Insurance immediately and documents submitted within 48 hours of reporting claim.
  • Ensure a daily follow-up with Insurance regarding status of claims.
  • Maintain Accident/Claims Register daily especially outstanding claims not repaired.
  • Ensure that vehicles have tools and equipment where necessary.
  • The tools need to be controlled and signed for.
  • Certificates for equipment needs to be updated.
  • Ensure that checklists are signed by customers at all times. 
  • This must be checked by the Fleet controller daily.
  • Ensure that Vehicle Movement Advice is received and kept on file, when vehicles are transferred from other branches.
  • Ensure that vehicle keys are kept in a safe and that the safe is locked at all times except when keys are required for Workshop or a customer order.
  • Ensure that the Key Register Procedure is adhered to at all times.
  • Ensure that weekly key audits are done and signed off by Branch Manager.
  • Ensure that vehicles parked in the yard in vehicle category and are locked at all times, ensuring that the windows are kept close.
  • Maintain Fleet Audit List, and the system kept updated on the status of the fleet.
