Minimum requirements:
- Grade 12
- Minimum 5 years relevant experience
- Computer literacy (Advanced MS Word, PowerPoint and Excel, email access required)
- Valid driving licence
- Able to develop new administrative systems for own department/division
- Able to manage and control administrative system in own department/division
- Can compile customer profiles and interpret usage patterns to determine needs
- Can make recommendations on tariffs design, service changes, product development or infrastructure changes based on consumer trends and customer
- Able to execute specific tasks related to customs clearance under direct supervision
- Understand the interaction of different administrative procedures between departments in the organisation
- Knows how to develop streamline administrative systems for own department/division
- Has sound knowledge of market research and marketing principles
- Has sound knowledge of existing services offered to which targeted customers and stays informed on developments in a changing environment
- Understands the importance of effective packaging and warehousing methods and applications
- Handles hazardous cargo
Responsibilities:
- Obtain all documentation from either the customer directly or from the Forwarding department
- Contact the airlines/shipping line to confirm correct flight details before registering the file
- Ensure all the documents are accurately addressed and in the correct name of the shipment
- Ensure all details are accurate before submitting to SARS and are within the SARS regulations
- Register the shipment correctly before sending the file through to the entry department
- Request all invoices from the various Air lines, shipping lines and agents
- Check cargo if hazardous and inform the drivers
- All 3M shipments are also to be registered to the CARS system (3M system)
- The file will then be taken to entries where the shipment will be cleared through customs
- If the shipment is detained by port health or stopped by customs, ensure all the necessary documentation is sent to the customs official.
- Follow up and make sure release is obtained timeously
- Once the shipment is released, arrange all transport to the various customers
- Arrange for the delivery of shipments
- Ensure the PODs received are placed in the files
- Manage the vehicles from Truck Rental and also the transporter from the ports
- Report any incidents to Truck Rental management should anything arise
- Keep all contracts for delivery daily and file away
- Ensure the vehicle is fully utilized before hiring other vehicles
- Manage the drivers on a daily basis
- Update customers status reports
- Keep the customer informed at all times of the process of the shipments
- All shipment files must be billed immediately before delivery
- All COD customer accounts must be paid up to date before delivery
- Ensure that all the customers receive their invoices and a full set of documents before the shipment is delivered
- Ensure that all empty containers have been turned into the correct empty depot
- Keep the bond report continuously updated
- Arrange XDPs from the bond store and ensure the bond store receives all relevant documentation
- Ensure XDPs are billed within 3 days of bill of entry date
- Bill the cartage of the local deliveries from the bond store
- Ensue all PODs are received for local deliveries from the bond store to customers
- Send PODs on a monthly basis to customers
- Maintain professional conduct
- Handle all the filling of shipment files
