Key purpose:

The purpose of the role is to assume full responsibility and accountability for all administrative and planning related matters relating to the Training Academy.

Duties and responsibilities:

  • Planning of annual training needs in accordance with: Expiry date of licences i.e. dangerous goods, crane, and all types of lifting equipment
  • ABC Assessments
  • All related training on offer within the scope.
  • Monitoring of all expiry dates of all forms of licences and plan training in accordance.
  • Ensure training is planned to optimise the utilization of Trainers and to limit Saturday training cost and time off in lieu off overtime for Trainers.
  • Schedule annual planning meetings and ensure training is agreed to and communicated.
  • Compile training schedule per Trainer.
  • Ensure buy in from management to make staff available for training. 
  • Where staff are off sick / leave accommodate the staff into other training dates in the planned schedule especially where licences are close to expiring.
  • Keep close record to ensure that all training requirements.
  • Work closely with management to ensure training is conducted with limited operational disruption.
  • Liaise with management to ensure that AdHoc training needs are met as and when required
  • Ensure that SOP is followed closely when requested to perform training for external parties such as clients.
  • Ensure training is approved
  • Ensure that all Trainers conduct capturing on a daily basis of all training conducted for the day including new assessments.
  • Provide month end reports from the system ensuring at all time credibility and accuracy of all records.
  • Continuously scrutinize the system to suggest enhancements and changes that would ease monitoring and reporting.
  • Provide month end reports to each BU / Branch providing feedback on training plan and progress made.
  • Provide a monthly report detailing all invoicing done for the month and year to date.
  • Build a solid relationship with the providers to ensure optimization
  • Ensure certificates are issued timeously well in advance prior to expiry dates of licences.
  • Quality check certificates for accuracy.
  • Distribution of certificates to attendees ensuring a register is kept of all certificates issued.
  • Ensure the establishment of a proper filing system
  • Ensure that all records are up to date
  • Ensure filing is done weekly and no backlog occurs.
  • Provided input into the monthly report detailing all training stats and areas of concern
  • Continuously provide feedback to the business on findings.
  • Ensure that staff discipline is maintained and working hours are adhered to.
  • Manage the consumables for the department
  • Monitor leave of Trainers and time off in lieu of overtime.

Minimum requirements:

  • Minimum Matric 
  • Tertiary qualification highly advantageous.
  • Advanced Excel Skills to aid in the planning process
  • MS Project will be highly advantageous
  • Project Management qualification will be highly advantageous.
  • Role is suited to a mature experienced manager.
  • At least 10 years management experience.
  • Management of staff and disciplinary process skills essential and non-negotiable.
  • Ability to motivate staff to ensure optimum service delivery to the business
  • Highly skilled manager required who is able to plan, coordinate, manage, control and direct the activities of the department.
  • Compliance is essential and strong admin and record keeping skills are required.

Skills required:

  • Ability to take corrective disciplinary action as and when required.
  • Manage staff in terms of time keeping and the training schedule.
  • Strong manager required with strong interpersonal skills and at least 10 years + management experience of staff.
  • Driven individual who can work independently and provide feedback upwards. There is no room for any individual who expects to be managed.
  • Own reliable transport
  • Ability to work overtime including Saturdays. Normal working hours are 7 to 5. Role not suited to a clock watcher.
  • Ability to travel at short notice across SA.
