Minimum Requirements:

Qualifications:

  • Diploma in Logistics or Warehouse Management or related fields (NQF 6)

Experience:

  • 5 years experience in Shipping and Logistics in the Manufacturing environment, with up to 3 years at Supervisory level

Shipping Operations and Administration 

  • Manage, plan, and provide support to all Shipping and Administrative Despatch operations.
  • Develops and executes the Shipping plan.
  • Aligns agreements and improvement projects with Planning and Logistics plan and strategy, budget, and applicable legislation.
  • Plans and organizes with Transporter service providers, the resources (vehicles) required to load and transport product.
  • Plans loads towards maximizing the optimal utilization of deck-space and load-mass of vehicles.
  • Manages fast turn-around of all vehicles when loading.
  • Plans all shipments in accordance with customer requirements (distribution instructions, STOs, and specific allocations).
  • Coordinates and maintains integrity of Goods in Transit.
  • Supplies OEM customers in line with required JIT and Kan-ban protocols, as applicable.
  • Manages the process of invoicing and preparation of all documentation for products shipped.
  • Executes all export-related administration as per governing rules, regulations, and legislation applicable to various Incoterms, Customers, and Countries shipped to.
  • Captures and processes data daily and assists with any administrative matters when needed.
  • Manages the loading of all trucks and containers as per SOPs.

Warehouse Operations 

  • Controls and maintains the condition of the warehouse and loading facilities to ensure optimum conditions and safety for people and assets.
  • Ensures all warehouse-related processes function optimally, including:
    • Inbound Processing for goods received.
    • Outbound Processing for goods being delivered to customers or branches.
    • Warehousing and storage for the internal movement of products within the warehouse.
  • Manages the process for handling returns, defective products, and damaged goods.
  • Ensures housekeeping standards are implemented and maintained.
  • Applies lean management principles to reduce waste, improve process flow, and reduce costs.
  • Formulates and implements policies and procedures towards the continuous improvement of Warehouse and Shipping Department operations.
  • Coordinates and directs methods and systems to ensure maximum security is maintained in the warehouse and despatch areas to minimize damage or loss within or on route.
  • Coordinates and ensures the accuracy of receipt of product into Shipping Department and posting of transactions to SAP timely.
  • Manages the process of confirmation of all finished products and receipt into Finished Goods.
  • Controls inventory accuracy through cycle and month-end counts.
  • Maintains FIFO on all products.
  • Ensures product, materials, and equipment preservation.
  • Conducts inspections, audits, and maintains related/relevant administration.
  • Keeps abreast with technological advancements in the field to maintain a competitive advantage.
  • Manages relationships with third-party logistics providers (3/4PLs), if applicable.
  • Monitors inventories and implements appropriate actions to rotate/manage redundant or slow-moving stock, preventing obsolescence.
  • Investigates incidents of poor inventory accuracy and stock-outs, formulates and implements corrective and preventative actions.
  • Coordinates storage and transport to/from off-site storage of materials (when applicable) and related costs.
  • Ensures effective preservation and maintenance of buildings, tools, and other facilities.
  • Participates in training to upgrade skills, develop methods, and systems, and stay current with technologies in Inventory Control.

Compliance 

  • Operates and manages operations, people, and facilities in compliance with all rules and regulations, whether company or legal requirements.
  • Operates within controls and procedures to ensure the integrity of The Company.
  • Identifies and monitors risks within own department and area of responsibility.
  • Assists in maintaining a risk register, reporting discrepancies or areas of concern to management.
  • Ensures compliance with all relevant regulations and policy frameworks to prevent fruitless, wasteful, and irregular expenditure.
  • Updates and maintains SOPs and safety practices on an ongoing basis, ensuring staff duties are fulfilled as prescribed by OSH Act standards.
  • Ensures staff adhere to/complies with the necessary SHEQ policies and SOPs.
  • Continuously strives to reduce blood lead levels in hazardous environments, aligned with Health and Safety standards.

Customer Service Management

  • Maintains effective working relationships with customers (both internal and external) to provide the highest quality of services.
  • Represents The Company in meetings with relevant stakeholders.
  • Identifies and solves problems creatively, demonstrating a high level of integrity in line with The Company's core values.
  • Reports to Management on internal stakeholder-related matters.
  • Maintains relationships in accordance with policies, procedures, legal requirements, and stakeholder management system requirements.
  • Attends to customer queries on delivery, packaging, transport, etc., of finished products.

Staff Supervision 

  • Ensures that all employees have signed performance agreements.
  • Monitors and measures performance quarterly by conducting employee appraisals.
  • Collaborates with HR to identify staff performance objectives, potential development areas, and action plans.
  • Ensures ongoing training and development of employees.
  • Addresses employee relations matters fairly and promptly.

Cost and Financial Controls

  • Contributes to the budget preparation process.
  • Promotes the effective, efficient, economical, and transparent use of financial and other resources.
  • Ensures overtime remains within budgetary and authority limits.
  • Approves purchases in line with company authorization levels.
