About the job Groups Events Manager

Directly responsible (when planning) or indirectly (when someone on the team plans) for the organization and planning of all groups other than wedding groups staying at the property.

Achieve the satisfaction of group customers based on logistics and planning in order to obtain positive surveys and repeat customers.

Define the strategy to ensure compliance with the KPIs established for your area of responsibility.

Constant communication with the hotel's Executive and Operational Committee to propose strategies for group satisfaction.

Develop schedules, plan vacations, absences and leaves based on occupancy and operational requirements.

Responsible for the formation of the group team, in constant training on operational and administrative improvements to achieve greater effectiveness and efficiency in their functions.

Efficiently distribute groups and tasks across the group team based on profiles and experience.

Distribute the tasks of the department according to the staff and profile of the work team.

Follow up with the group from the delivery of the contract, through the pre-planning, during their stay and after the trip for any pending issues such as payment of commissions, lost & found, follow-up to satisfaction surveys, etc.

They are part of the hotel's Operating Committee, so they require their participation in the meetings that the hotel requires such as briefings, monthly meetings, etc.

Participate in the meetings of departmental managers to which he/she is summoned for operational and administrative management.

Keep a Calendar / Chart of groups for the control and assignment of the same and be constantly updating it. This chart will be shared with the departments involved in the hotel.

Know and train your collaborators on all SOPs and policies related to the Groups department.

Evaluate, develop and communicate strategies for the operation of the groups based on the operating standards established to guarantee the quality of the service.

Actively participate in inspection and planning visits

Carry out a control of the payments of the groups in conjunction with Audit with punctual follow-ups to keep the customer portfolio without debts, or red flags in last-minute collections.

Safeguard and keep group files organized in order to have internal control of the department.

Supervise the increases or decreases of rooms by the groups for the assignment of the collection balance of the same.

Keep an updated list of venues with capacities.

Keep New Plan up-to-date vs wedding calendar and group chart (applies only to Mexico)

Accompany the team during grievance situations to ensure that issues are resolved in-house and cases do not go post-travel.

Train new staff in all the company's processes.
