Job Function/Purpose:

We are seeking a highly organized, detail-oriented, and proactive Managed Services Coordinator to support the efficient operation of our Managed Service team. The Managed Services Division is responsible for supporting and renewing all service and software agreements. This role will be responsible for supporting day-to-day administrative tasks, coordinating internal and external communication requirements, supporting program management efforts, and ensuring smooth office operations. The ideal candidate is a self-starter with excellent multitasking abilities and strong attention to details. The salary range for this role is between $34.00 and $36.00 USD, commensurate on relevant education, experience, and other related factors. 

Key Accountabilities

  • Document all SOPs for Managed Service division
  • Provide general administrative support for the department
  • Demonstrate strong foresight and proactive planning skills to anticipate departmental needs and ensure operational continuity.
  • Compile multiple sets of reports for Program Managers as well as General Managers for each office
  • Request multiple vendor quotes for software maintenance
  • Preparing online renewal folders
  • Building out projects at time of booking within Vista Viewpoint
  • Manage projections documentation
  • Assist and provide data for agreement billings and associated documentation
  • Support accounting with any requested needs regarding agreements
  • Oversee all service agreement start and end dates to request appropriate renewal information from vendors
  • Generate weekly/monthly reports and deliver to appropriate parties
  • Maintain forecasting mechanisms in place
  • Assist Program Managers with project documentation
  • Attend Service Turnovers meetings and assist with reoccurring post project needs
  • Work closely with the Managed Services team to ensure handoff of projects are documented accordingly.
  • Compile all project data to derive metrics for renewals, future budgeting, and continuous service improvement
  • Generate and close work orders as needed

Job Qualifications

  • Experience or familiarity with healthcare technology solutions such as Nurse Call, Security, Fire, and AV systems is highly preferred.
  • Highly organized
  • Exhibits agility in problem-solving under pressure.
  • Strong analytical, organizational, and problem-solving skills with attention to detail.
  • Excellent written and verbal communication skills, including the ability to develop reports and business correspondence
  • Proficient in basic financial calculations
  • Proficiency in Microsoft Word, Excel and other accounting software
  • Capable of interpreting and executing instructions provided in various formats (written, oral, diagram).

Education / Experience

  • 3 years+ coordination experience, preferably in a service-oriented environment
  • Proven ability to coordinate multiple projects/activities simultaneously
  • Demonstrated strong interpersonal skills and ability to work with multiple members of a team.
  • Strong Microsoft Office skills
  • Accounting experience is a plus
  • Vista Viewpoint experience is a plus

Work Environment

  • Standard business hours: Monday to Friday, 7:30 AM 4:30 PM, with flexibility for additional hours as needed based on workload.

Essential Functions

  • Perform physical activities that may include prolonged periods of sitting, standing, bending, stooping, and stretching as required by the role.
  • Utilize manual dexterity and hand-eye coordination for tasks such as data entry, computer use, and equipment handling.
  • Occasionally lift and carry materials or equipment weighing up to 30 pounds.
  • Pass and maintain a clear background check to meet customer jobsite badging and security requirements.
  • Adhere to company policies regarding drug and alcohol testing, maintaining a clear status per regulatory and contractual obligations.
