A dynamic, multi-business US-based founder is seeking an Executive Assistant to bring structure, organization, and efficiency to daily workflows. In this role, youll collaborate closely with the founder while also working independently to manage and coordinate tasks and projects.
From reviewing meeting recordings and identifying actionable steps to planning and organizing daily activities, your mission will be to ensure everything runs smoothly. You'll take ownership of task tracking, follow up on deliverables, and execute a variety of administrative responsibilitiesall while staying accountable for the success of these efforts.

Responsibilities:
As an Executive Assistant, youll provide vital support to the CEO and help streamline various tasks across the organization, including:
- Task Tracking & Coordination: Track and manage tasks and deadlines across team members using tools like Notion or JIRA. Proactively follow up to ensure timely completion.
- Meeting Management: Review meeting recordings, extract actionable items, and create clear meeting minutes.
- Calendar & Email Management: Organize the CEOs schedule, coordinate appointments, and handle email communications.
- Project Support: Assist with various project coordination activities across the main company and related ventures.
- Personal Tasks: Manage personal tasks for the founder, including travel arrangements and general coordination (e.g., appointments, booking tickets).
- Systems Setup: Recommend and implement tools for improving task and project management efficiency.
- Miscellaneous Tasks: Support tasks for other businesses and real estate holdings.

- Availability working 6 am - 2 pm Arizona time (3 pm - 11 pm South Africa time.
