A US-based founder of the groundbreaking SaaS platform designed to revolutionize sales and content management workflows is looking for a proactive and enthusiastic Executive Assistant for Customer Success to help him organize and manage daily working sales activities.

You will work closely with the founder to manage various tasks, primarily focused on sales support. The ideal candidate is a tech-savvy generalist with a knack for building and maintaining relationships. You will be responsible for managing calendars, following up with clients, coordinating meetings, and handling various administrative tasks that keep the business running smoothly.

Key Responsibilities:

Sales Support:

  • Follow up with potential clients after initial calls, maintaining momentum in the sales process.
  • Send personalized gifts to clients after initial meetings and follow up via email
  • Manage the sales pipeline using simple tools like Google Suite and Notion until a more robust CRM is implemented.
  • Assist in following up with users during pilot phases, ensuring they have everything they need and addressing any issues.

Executive Assistance (mostly around his sales activities):

  • Manage the founder's calendar, including scheduling meetings, booking travel, and coordinating events.
  • Handle email correspondence, including responding on behalf of the founder when necessary.
  • Book meetings and appointments, considering travel times and the founder's preferences.
  • Manage both personal and professional schedules, ensuring all tasks are handled efficiently.
  • Be on top of communications, especially with executives, to ensure timely responses and scheduling.

Administrative Tasks:

  • Assist with miscellaneous tasks such as sending quick updates, following up on customer inquiries, and ensuring that all tasks are completed without the need for micromanagement.
  • Implement and manage systems to streamline day-to-day operations and improve efficiency.

Qualifications:

Experience:

  • Proven experience as an executive assistant or in a similar role, preferably with a focus on sales support.
  • Familiarity with Google Suite (Gmail, Google Calendar, Google Docs) and Zoom.
  • Experience with Notion or similar document management tools is a plus.

Skills:

  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Tech-savvy with the ability to learn and adapt to new tools quickly.
  • Proactive and able to work independently without the need for constant supervision.

Soft skills:

  • Self-starter with a get-it-done attitude.
  • Not afraid to suggest improvements to processes and systems.
  • Comfortable working in a fast-paced environment with a focus on results.
  • Flexible and open to adjusting work hours occasionally to meet urgent needs (get-it-done attitude). The working schedule is aligned to the US CDT
