Objective:
Office management, Document Control, Assist the team in daily office business
Qualifications
- Relevant transferable education and skills sufficient to perform the Project Tasks
- Good IT skills especially MS Office suite, technical experience
- Good interpersonal skills and strong organiser
Key Responsibilities:
- Manage the BLP office setup in the Port of Leba
- Reception service
- Digital archiving of documents and service of the archive
- Downloading, merging and sending invoices
- Support timekeeping of both shareholders (follow-up in time every month)
- Manage document control
Major Tasks:
- Welcome visitors, helping them navigate through an office and getting in contact with the correct person in the BLP Organisation
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor attendance log)
- Issue visitor access cards
- Issue BLP project ID cards
- Monitoring office presence
- Informing BLP Team about external visitors in BLP office
- Receive, download, merge and distribute invoices received
- Issue and handover access cards for employees
- Assist Team Support with archive service
- Assist Team Support with reporting office issues to Orlen Administracja / facility management
- Support with organizing parking spots for employees and guests
- Follow-up on hours billing
- Manage and schedule desk sharing on a daily basis for Leba team / visitors
- Support Management Assistant in Office budget use control
- Preparation of documentation and presentations for meetings: Kick-Off; Supplier Meetings, etc.
