As an Executive Assistant, your role is crucial to provide high-level support to the CEO by managing schedules, coordinating meetings, handling communications, and preparing important documents. They act as a key point of contact, ensuring efficient operations while maintaining confidentiality and professionalism.

Requirements:

  • Minimum of 5 years experience as an Administrative Assistant or Secretary to senior executives or directors. 
  • Proven ability to multi-task and have a high attention to detail.
  • Outstanding communication and negotiation abilities.
  • Excellent English language both Speaking and Writing.
  • Individual with strong organisational and leadership skills.
  • Quick learner and professional - hungry to learn about business and to pick up new skills.
  • Wants to build a long-term career as part of a high-growth and dynamic company.

Responsibilities:

  • Ensuring the CEO's calendar is up to date, and managing their appointments and meetings
  • Attend all meetings with the CEO, understand what was discussed at meetings, and record the agreed next steps from these meetings. 
  • Keep good written records of follow-up actions and report on the status of Follow-up Actions to the CEO and support Management team members (as instructed by the CEO).
  • Organizing internal and external events, including team meetings, etc
  • Completing expense reports, preparing correspondence, and maintaining filing systems.
  • Will work closely with the Singapore-based accounting team bridging communication between the CEO's office and internal departments. 
  • Collaborate with other departments, such as finance and operations.
  • Being aware of issues and anticipating the CEO's needs before meetings and conferences.
  • Assigning work to staff on behalf of the CEO.
  • Direct the appropriate person to ensure that the office is presentable with adequate supplies.
  • Monitor sales and distribution performance, and take action to improve.
