Our client is a private luxury estate located in South Bali. They are looking for a highly capable Estate Manager & Personal Assistant to oversee day-to-day operations, manage staff and property upkeep, and provide personalised support to the family, including concierge services, household coordination, and in-house management.

Requirements:

  • Demonstrated background in luxury hospitality, with experience in concierge, guest relations, villa management, or serving as a personal assistant to high‑level hospitality owners or executives
  • Background in villa, hotel, or private estate management
  • Fluent in English & Bahasa Indonesia
  • Valid Indonesian driver's license with confident driving skills 
  • Comfortable handling young children and family pets
  • Strong proficiency in AI tools, Google Sheets, and Excel
  • Self-managed, proactive, and hands-on attitude
  • Discreet, trustworthy, and able to work in a private family environment
  • Strong problem-solving skills with the ability to anticipate needs
  • Experience in a restaurant or food logistics is a plus

Key Responsibilities:

1. Property & Estate Management

  • Oversee maintenance, repairs, and overall upkeep of the estate
  • Ensure hotel-level cleanliness and presentation at all times
  • Manage garden, grounds, and improvement projects
  • Source materials, suppliers, and handle resale of unused items

2. Personal Concierge & Family Support

  • Handle travel planning, itineraries, and bookings
  • Organize events (from intimate to large-scale)
  • Manage gifts, guest experiences, and personal requests
  • Support daily needs including childcare assistance, pet care, and driving

3. Shopping & Procurement

  • Manage household groceries and specialty sourcing
  • Coordinate restaurant-related orders and deliveries
  • Source supplies, décor, and household materials

4. Staff & Operations Management

  • Lead, train, and schedule housekeeping & grounds staff
  • Manage staff and owner calendars
  • Handle budget tracking, expenses, and petty cash
  • Maintain overall operational standards of the estate

5. Administration, AI & Research

  • Use AI tools for planning, sourcing, and problem-solving
  • Maintain trackers, budgets, and operational spreadsheets
  • Conduct supplier, service, and lifestyle research
  • Continuously improve systems and efficiency
