Azeus Systems Philippines is looking for an Administrative Assistant who is competent at office administration, has the heart for human resources, and excited to be part of a growing multi-national IT company.

We are happy to consider fresh graduates from any course or those with working experience.

The following are the duties and responsibilities:

  • Assist in the front-desk activities, including, but not limited to:
  • receiving documents addressed to the company or any of its employees
  • answering phone calls
  • receiving visitors, applicants and delivery personnel, and notifying concerned employees of their arrival
  • Provide Admin & HR support, including planning and organizing company activities
  • Assist in Office Administration activities, including, but not limited to:
    • a. Employee Attendance
      • a.1. Generate daily attendance report and ensure timely update for payroll processing
      • a.2. Track payroll disputes raised by employee/s
      • a.3. Keep track of employees on overnight (ON)/on Frequent OTs/on AWOL
    • b. Employee Effort Tracking
      • b.1. Check generated Employee effort report and determine missing entries
      • b.2. Keep track of missing effort entries, and those with corrections and updates
    • c. Employee Leave Crediting and Monitoring
      • c.1. Record employee leaves (including those for the Cebu office), and reply to employee inquiries regarding their leaves
      • c.2. Maintain a summary of employee leave balances
      • c.3. Credit vacation leaves from weekend and/or holiday work
      • c.4. Update leave credits of employees upon regularization and inform them about leave credits and how to avail of them.
      • c.5. Remove filed and approved leave applications from the list pending for review
    • d. Process compensatory leaves
    • e. Verify employee claims for overtime meal and transportation reimbursements (for Manila and Cebu offices)
    • f. Assist the Training Manager in the preparation of the Training Plan, consolidation and tracking of Training Feedback
    • g. Track unplanned absences of employees for the implementation of the Habitual absenteeism policy
    • h. Handle the assigned company activity for the year
    • i. Monitor emails and messaging platforms to check if there are emails or messages addressed to RP_Admin which need immediate reply
    • j. Report to the office as Admin onsite on the designated month, and perform office errands and specific tasks while onsite
    • k. Coordinate with counterparts in Cebu and other global offices
  • Assist in the efficient conduct of administrative support and services of the company recommending changes as appropriate;
  • Other duties and functions as are incidental or inherent to your duties, or those which may be required, requested or entrusted to you by your superiors.

Qualifications

  • Proficient in MS Office, particularly Excel, Word and PowerPoint
  • Self-motivated with ability to deliver under pressure
  • Diligent, quick to grasp instructions, and eager to learn
  • Excellent organizational and multitasking abilities
  • Detail-oriented with strong problem-solving skills
  • Strong oral and written communication skills
