Disclaimer: This is a fixed-term contract for a period of 01 year and extendable.

MAIN RESPONSIBILITIES

Employee Correspondence Management

  • Prepare and issue employee letters and correspondence in a timely and accurate manner.
  • Assist with employee relocation processes, ensuring smooth coordination.
  • Seek guidance from the reporting manager when handling complex or exceptional cases.

Probation Evaluation Management

  • Track and facilitate the timely completion of probation evaluations.
  • Ensure all necessary documentation and approvals are in place.
  • Obtain necessary direction from the reporting manager to ensure adherence to policies.

Fixed-Term Contract Evaluation Management

  • Monitor and support the evaluation process for fixed-term contracts.
  • Ensure timely completion of required documentation and approvals.
  • Clarify any uncertainties with the reporting manager to ensure compliance.

Statutory Enrollment & Records Maintenance

  • Facilitate employee enrollment in statutory funds (e.g., EPF, ETF).
  • Maintain accurate records and issue necessary documentation.
  • Organize and submit required documents to the labor department and employees.
  • Consult the reporting manager for guidance on statutory requirements and process updates.

EPF & ETF Claim Processing

  • Assist employees in completing EPF and ETF claim forms.
  • Ensure required personal documents are attached before releasing forms.
  • Seek clarification from the reporting manager on any exceptional cases.

Internship Attendance Management for Payment Purposes

  • Track intern attendance for payroll processing.
  • Maintain accurate records and ensure timely submission for payments.
  • Confirm procedural accuracy with the reporting manager as needed.

Handling Employee Inquiries

  • Address and resolve employee inquiries related to HR operational matters.
  • Escalate complex inquiries to the reporting manager for further guidance.

Personal File Management

  • Maintain and update employee personal files.
  • Conduct periodic audits to ensure file completeness and compliance.
  • Consult the reporting manager when addressing discrepancies or missing records.

Support for HR Operations Initiatives

  • Assist the HR Operations unit with any new engagements or initiatives as required.
  • Carry out additional tasks as instructed by the reporting manager.
  • Be willing to adapt and take on new responsibilities as needed.

Qualifications/ Skills/ Knowledge

  • Diploma/ Degree in Human Resources or related field
  • 1+ years' experience in a similar capacity
  • Relevant professional qualifications will be an advantage.
  • Full understanding of all HR functions and best practices
  • Excellent people management skills
  • Good communications and negotiation skills
