Job Summary:

The Executive Administrator will provide comprehensive administrative support to the Segment Leader, Industry and Consumer, enabling the achievement of company goals and segment-specific targets. This role requires a highly organized, proactive individual who excels at managing multiple priorities, meeting deadlines, and supporting various business initiatives.

Required Qualifications:

  • Bachelors degree in Business Administration or related field, or 10+ years of relevant experience.
  • Excellent communication skills with a strong command of Excel (advanced) and Word (Required)
  • Proficient in data analysis and reporting.
  • Detail-oriented, proactive, and highly organized.
  • Ability to manage multiple priorities simultaneously, meet deadlines, and escalate issues as needed.

Key Responsibilities:

  • Reporting & Documentation:

    • Assist in gathering data and preparing the Segment Leaders monthly report.
    • Prepare documents and presentations for BU management meetings and other key discussions.
    • Compile SSS data and create pivot tables for analysis.
    • Manage preparation and tracking of 1 & 3-YP, LTG/KPIs, and business-related reports.
  • Planning & Coordination:

    • Organize and manage logistics for segment meetings, trade shows, marketing campaigns, and customer visits.
    • Coordinate the scheduling of segment leaders calendar, ensuring timely follow-ups on customer visits and segment-related actions.
    • Oversee the onboarding process for new personnel within the segment.
  • Support to Segment Leader & KAMs:

    • Assist in the creation and coordination of deviation reports and action items.
    • Provide administrative support to the KAMs (Key Account Managers), ensuring timely task fulfillment and the accurate tracking of customer interactions.
    • Manage segment leaders travel arrangements and itineraries for meetings/events.
  • Operational Support:

    • Maintain up-to-date forecasts and calendars for the segment leader and KAMs.
    • Track and follow up on new account applications and contracts.
    • Prepare and submit expense reports for the segment leader as needed.
    • Take minutes during meetings, track action items, and ensure deadlines are met.
  • Miscellaneous:

    • Organize and send birthday cards for segment employees.
    • Provide regular updates on the segments project pipeline, LTGs, and daily/weekly tasks.

Additional Requirements:

  • Willingness to travel for trade shows, segment meetings, and technical events as needed.
