Job Description – Production Assistant

The Production Assistant supports the Production team in ensuring the smooth flow of shots and assets across departments. Working closely with Production Coordinators, Production Managers, Supervisors and Artists, the PA helps maintain accurate tracking, documentation and communication to assist in delivering quota and inventory on time.

Responsibilities

  • Support Production Coordinators and Production Managers in maintaining accurate schedules and tracking shot progress across disciplines.
  • Update tracking tools and ensure shot statuses, notes and delivery dates are kept current and accurate.
  • Take detailed notes during internal reviews and dailies; publish and circulate notes promptly to the relevant teams.
  • Assist in organizing and preparing client deliveries, sends and submission packages.
  • Coordinate with Editorial and Pipeline teams to ensure smooth ingestion and output of media.
  • Track client feedback and help ensure all notes are clearly communicated and actioned.
  • Follow up with Artists and Leads on pending tasks to ensure quotas and milestones are met.
  • Help manage documentation, filing systems and production reports.
  • Escalate any schedule risks, technical blockers or resource concerns to the Production Coordinator/Manager.
  • Support general production administration and ad-hoc tasks as required.

Requirements

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to multitask and prioritize in a fast-paced production environment.

  • Basic understanding of the VFX pipeline (preferred but not mandatory).

  • Proficiency in spreadsheets and production tracking tools.

  • A proactive attitude with the ability to work collaboratively across teams.
