Job Title: Virtual Administrative Assistant
Location: Remote
Employment Type: Full-Time - Independent Contractor
Key Responsibilities:
Provide comprehensive administrative support to the directors, including managing their calendars, scheduling meetings, and preparing meeting agendas
Maintain office supplies & merchandise by checking inventory and ordering items as needed
Coordinate and schedule meetings, interviews, and appointments, ensuring all necessary preparations are made
Maintain and update client and candidate databases in company CRM ensuring all information is accurate and up-to-date
Prepare and distribute correspondence, reports, and documentation for both internal and external communications
Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring prompt and professional responses
Assist with the organization and coordination of company events and activities, including booking venues, arranging catering, and sending invitations
Ensure compliance with company policies and procedures by keeping detailed records and managing documentation
Perform other administrative duties as required, including data entry, job postings and LinkedIn support
Must Haves:
Proven experience as an administrator or in a similar role
Excellent organizational and time management skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong written and verbal communication skills
Ability to multitask and prioritize tasks effectively
Attention to detail and problem-solving skills
Professional and courteous demeanor
