Job Title: Virtual Administrative Assistant

Location: Remote

Employment Type: Full-Time - Independent Contractor

Key Responsibilities:

  • Provide comprehensive administrative support to the directors, including managing their calendars, scheduling meetings, and preparing meeting agendas 

  • Maintain office supplies & merchandise by checking inventory and ordering items as needed 

  • Coordinate and schedule meetings, interviews, and appointments, ensuring all necessary preparations are made 

  • Maintain and update client and candidate databases in company CRM ensuring all information is accurate and up-to-date 

  • Prepare and distribute correspondence, reports, and documentation for both internal and external communications 

  • Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring prompt and professional responses 

  • Assist with the organization and coordination of company events and activities, including booking venues, arranging catering, and sending invitations 

  • Ensure compliance with company policies and procedures by keeping detailed records and managing documentation 

  • Perform other administrative duties as required, including data entry, job postings and LinkedIn support


Must Haves:

  • Proven experience as an administrator or in a similar role 

  • Excellent organizational and time management skills 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) 

  • Strong written and verbal communication skills 

  • Ability to multitask and prioritize tasks effectively 

  • Attention to detail and problem-solving skills 

  • Professional and courteous demeanor
