Job Responsibilities:
- To handle critical aspects of deliverables with a hands-on approach, including drafting letters, personal correspondence and other tasks that facilitate the directors ability to effectively lead the organisation.
- Taking care of the day-to-day work of the director. Acting as a first point of contact. Manage and maintain weekly as well as monthly calendar of the director and schedule appointments and meetings.
- Attend phone calls, screening inquirers, requests, complaints etc. and handling them as and when appropriate. Taking regular follow up from engaged stakeholders /departments/other bodies as assigned by the director.
- Appropriate allocation of time to prioritize the work schedules, urgent and important matters come up from time to time and ensuring meeting deadlines.
- Taking care and assist in directors travelling, lodging & other arrangements when required.
- Providing all assistance like fixation and tracking of appointments, meetings. reminding the director of important tasks and deadlines etc.
- Letter/Mail drafting, compiling, preparing reports, presentations.
- Handling Communication and coordination of director with clients, management, department heads & staff for the timely submission of reports.
- Attending the meetings to record the MoM (minutes of meetings) and circulate the same as per instructions.
- Alert director about cancellation of meetings or new meetings and scheduling work based on priority.
- Organizing meetings, events and conferences for directors.
- Maintain and organize filing systems of paper and electronic documents.
- Any other relevant task assigned by the director.
Minimum Qualifications:
- Graduate/Postgraduate in Engineering/Business Management/Finance.
- Should have very good academic record and education.
- Should have excellent verbal and written communication skill.
- Flexibility and adaptability.
- Handling advanced and complex calendar management.
- Organisational skills and the ability to multitask.
- Efficient use of MS Office, Email, WhatsApp, Outlook and various social media platforms (IT Skills)
- High levels of integrity and discretion in handling confidential information and dealing with people.
Desired Skills:
- Time management and organisational skills.
- Able to work in a fast paced and highly ambiguous environment and ability to handle pressure.
Experience:
- 3-8 years of experience in similar profile.
