Position overview

The organisation is looking to add an experienced Senior Manager to its Operations team. The team has grown rapidly over the last year (from 3 to 8 team members), and the team is likely to grow even more as the organisation scales rapidly. The Senior Manager position is ideal for someone who wants to learn what it takes to lead an Operations department at a fast scaling development sector organisation. The team has grown from 30 team members at the start of 2023 to more than 60 team members currently and we expect to grow to more than 100 team members by June 2025. The Senior Manager of Operations will also have a tremendous opportunity to grow into a Leadership role at the organisation.

The focus of this role would be to oversee the day to day execution of key tasks across the two key departments of the Operations team (Human Resources and Administration). Here is a brief look at what these teams do at the organisation:

  • Human Resources (HR) team - the HR team has three team members right now that manage the work across the entire HR spectrum - this includes Hiring, Performance Management, Contract renewals, Policy Making, Personnel Data Management, and more.
  • Administration team - This team has two members that oversee Vendor Management, Procurement, Travel and Logistics, Event Management, Office Management and more.

Responsibilities and activities

  • Support the development and implementation of the Operations Department strategy under supervision of Director of Operations
    • Collaborate with the Director of Operations to develop and refine the departmental strategy, ensuring alignment with organisational objectives.
    • Assist the Director of Operations in translating strategic goals into actionable plans and initiatives
    • Support the execution of key projects and initiatives, monitoring progress and adjusting strategies as needed.
    • Provide regular updates to key stakeholders within the Operations team

      
  • Day to day management of the Operations Department
    • Implement and enforce our workflow management system and best practices to ensure all work is done in a standardised and effective manner, this would include
      • Task management - Keeping track of Open Loops, helping the teams organise tasks as per priority and dependencies.
      • Time Management - Ensuring key meetings slots are blocked for the week and that the team is using calendars efficiently
      • Communication & Reporting - Ensuring all key stakeholders receive timely updates on key deliverables, Ensuring all meetings are documented
      • Weekly Planning - Summarising key open loops, key items that need discussion and setting priorities for the entire team through a weekly planning meeting
    • Facilitating Problem Solving and Decision Making for the HR and Admin teams - this would include -
      • Providing guidance to HR and Admin teams in resolving day to day issues in a structured and organised manner which would include
        • Helping the team structure and organise the issue and identify clear next steps
        • Leading communications with internal stakeholders to provide context and receive inputs
        • Ensuring that the problem is resolved and all internal stakeholders are update
        • Providing guidance to the HR and Admin team while they prepare recommendations or requests for decision making
          • Helping the team structure their thinking as per SoPs and best practices
          • Receive inputs from Operations Leadership and help the team understand required next steps
          • Ensure the decision is implemented as per what has been agreed upon
        • Strategic development of the Operations Department to support the organisational goal of implementing at scale
          • Evaluate existing systems and workflows, identifying processes that need upgrading
          • Creating detailed timelines and recommendation memos to implement updates to existing systems and workflows
          • Facilitating internal alignment and decision making around recommended changes
          • Driving the implementation of agreed upon changes with relevant stakeholders from the Operations team.
        • Other duties as assigned by the Supervisor and other Senior Leaders
CANDIDATE PROFILE 
    • 6-8 years of experience in management and operations roles, preferably in the field of social development, with substantial hands-on experience working with HR and Administration teams.
    • Attention to detail mindset
    • Demonstrated proficiency in implementing systems, creating standard operating procedures, and optimising processes.
    • Excellent interpersonal and communication skills, with the ability to collaborate effectively across diverse teams in both English and Hindi.
    • Experience in planning, monitoring and implementing multiple projects simultaneously through a structured approach
    • Strong analytical capabilities to be able to identify and organise complex problem solving and decision making
    • Exceptional writing skills - ability to draft high quality memos to drive internal alignment and decision making in English.
