Role Overview: The HR Manager will be directly responsible for managing the employee life cycle for all employees working at both national and state/district levels. This role is key to ensuring smooth HR operations across various locations, with a focus on recruitment, employee engagement, performance management, and more.

Location: New Delhi (with occasional travel to state/project locations)

Reporting: Country Head / HR Director / CEO / COO

Key Responsibilities:

1. Recruitment:

  • Maintain an up-to-date database of budgeted positions, including the status of current vacancies, and work towards providing suitable manpower to fill these positions.
  • Collaborate with the Country Director, State Heads, and Program Heads to plan and execute recruitment cycles for new roles.
  • Take full ownership of recruiting both state-level and national-level positions, including organizing and conducting interviews, forming selection panels, and providing performance assessments and recommendations.
  • Prepare and issue offer letters and contract letters to selected candidates.
  • Ensure thorough document verification from employees as per the standard checklist.
  • Maintain and update personal files of staff at both national and state levels.

2. Onboarding and Induction:

  • Oversee and plan the systematic induction and orientation process for all new employees.
  • Ensure induction plans are signed off and properly filed in employees' personal records.

3. Attendance and Leave Management:

  • Track staff attendance daily using the provided Excel format or suitable software.
  • Manage leave data, tracking eligibility, availed leaves, and closing balances for all employees.

4. Payroll & HR Data Management:

  • Collaborate with the Finance and Accounts teams to provide necessary payroll inputs, such as attendance summaries, leave data, and other deductions for payroll processing.
  • Maintain a complete and up-to-date employee database in HR software or Excel, ensuring all records reflect any changes.
  • Update and manage organizational charts and employee master data regularly.

5. Performance Management:

  • Monitor probation reviews and ensure outcomes are communicated formally through letters.
  • Communicate the annual and mid-year appraisal processes, verify completed forms, and consolidate results in specified formats.
  • Ensure timely contract renewals for all applicable employees.

6. Employee Separation:

  • Collect resignation letters from employees intending to exit and manage the exit process.
  • Conduct exit interviews using specified formats and share the results with reporting managers and leadership.
  • Ensure that the clearance certificate process is completed and final settlements are made within the agreed timelines.

7. Employee Engagement:

  • Plan, coordinate, and manage a variety of employee engagement activities on a regular basis.
  • Support training and development initiatives for employees at all levels.
  • Partner with District Managers to develop programs and activities that maximize employee engagement and satisfaction.
  • Organize and facilitate regular staffing reviews (monthly, quarterly, half-yearly, and annually) in line with company policies.
  • Address employee grievances, both formally and informally, directing them to the relevant departments for resolution.

Qualifications & Experience:

  • Educational Qualifications: MBA or a Post-Graduate Equivalent Degree in Human Resources Management, Labour & Social Welfare, or a related field from a recognized institution.
  • Experience: Minimum of 5-8 years in Human Resource Management and Administration, preferably within a Not-for-Profit Organization or Corporate CSR, with experience managing multiple offices.
  • Skills:
    • Strong interpersonal, communication, and presentation skills.
    • Ability to effectively respond to sensitive inquiries and resolve complex issues.
    • Demonstrated leadership and management qualities, including strong work ethic, trustworthiness, self-confidence, and conflict resolution skills.
    • Adaptability, creativity, and the ability to work effectively under pressure.
    • Proficient in Microsoft Office Suite and HR-related applications.
