The Position
Arsenault is seeking an Administrative Assistant/Team Assistant to support its Asset Management teams in Europe.
The Administrative Assistant/Team Assistant is expected to provide support with the management of our European real estate portfolios, while also performing broader asset management duties as needed. Responsibilities will include administrative leasing and asset management work, support of approval processes, data intelligence management, research and analysis as well as office management and assistance for other team members.
The Administrative Assistant/Team Assistant is an integral member of the Arsenault team and is responsible for keeping things running smoothly for all staff within the office and will possess superior organizational skills, excellent interpersonal skills, along with a high degree of initiative and ability to act independently. A can-do attitude is a must, as the Administrative Assistant/Team Assistant will always be up for the challenge and able to spot problems and solve them proactively.
The role will report directly to the Senior Vice President, Asset Management and work closely with the Office Manager.
Responsibilities
- Administrative support to the European Asset Management team.
- Support of signature and approval processes.
- Updating internal data intelligence.
- Working in Microsoft Excel, PowerPoint and Word.
- Mail sorting, scanning and delivery to employees. Coordination and processing of all outgoing mail including couriers and packages.
- Assist with planning and organization of internal and external events.
- Manage expense reimbursement process in an accurate and timely manner.
- Coordinate travel requirements of employees that do not have executive assistant support and provide travel related assistance outside of business hours when needed.
- Flexibility to support with day-to-day needs as they arise.
Qualifications and Experience
- Approximately 1-2 years of experience in an Administrative, Team Assistant or Office Management position.
- Bachelors degree or post-secondary school diploma in a relevant field would be considered an asset but is not required.
Skill Requirements
- Fluent in German and English.
- Strong customer service and communication skills, both written and verbal.
- Ability to work independently as well as part of a team. Excellent interpersonal skills are essential, including working effectively with management and staff at all levels of the organization.
- Superior organizational, time management and multi-tasking skills.
- Strong computer skills including Microsoft Office (Excel, Word, PowerPoint, Outlook).
- A common-sense approach to solving problems and a high attention to detail.
- Ability to resolve logistical issues, a demonstrated high degree of integrity, diplomacy, discretion and confidentiality.
