1. LOGISTICS OFFICER
The Logistics Officer is responsible for efficiently managing, administering, and coordinating all activities related to the delivery and shipping of materials from the warehouse. It is their duty to ensure that vehicles and heavy equipment are appropriately dispatched to project sites and clients. Effective communication with carriers, suppliers, warehouses, and other parties is crucial to pick up, deliver, and ship materials and equipment. The Logistics Officer must maintain strict oversight to guarantee the timely and safe delivery of all materials and equipment.
DUTIES AND RESPONSIBILITIES
- Issue DVIR and SR for equipment with defects.
a. Check the system (Geotab) to see if there's DVIR with Defects.
b. Issue Service Request to Motorpool.
c. Follow up on those SRs that are long due.
- Monitoring of Equipments through Geotab.
a. Check the watchdog report to see the health of all installed GPS.
b. Monitor movements of all types of equipment.
c. Check violations and call out the attention of Driver/Operators
d. If Major Offences are violated, issue IR and send it to the HR Department.
e. Attend to all concerns of Driver/Operator with regards to Geotab.
- Organize transportation activities, including pick-ups and deliveries of materials, manage information accrued from point of origin to delivery, orchestrate transportation movements, and arrange for services as necessary. This includes equipment transfers and movement.
- Ensure timely implementation of daily logistics goals, including shipping. Coordinate transportation providers for prompt shipment movement.
- Develop logistical plans for current operations and logistics contingency plans. Coordinate with the Motorpool Department for equipment support. Coordinate with operations, warehouse, and another department for workforce support during barging materials handling operations. Develop and execute tools and methodologies to effectively implement logistic plans.
- 7. Design and develop standard operating methods to manage logistics operations efficiently.
- 8. Ensure all supervised staff members are trained and cross-trained adequately.
- 9. Identify added logistic training requirements for all employees under the logistics department to attain high working standards.
- Computer systems(GEOTAB) are used to monitor performance levels and control quality.
- Process PR of all freight services in SAP
- Outbound process in SAP
- Petty cash request & liquidation in SAP
- Establish relationships with warehouses, ocean carriers, port management, other truck providers, sales force, and customers.
- Plan and arrange logistics required shipments.
- Processing orders promptly and guaranteeing on-time delivery by utilizing a robust system, including a network of courier companies and warehouses, is crucial.
- Develop and initiate daily, weekly, and monthly reports with required timelines, corporate metrics, and productivity measurements.
- Support simplification and standardization of processes to accelerate logistics and enhance efficiencies
- Head team to develop, articulate, and maintain logistic process documentation
- Monitor KRA/KPI of all Logistic Staff.
- Monitor attendance of the Logistic Team (leave of absence, daily time record attendance correction, overtime).
- Performs other related duties that the General Manager may assign.
EDUCATION, TECHNICAL CAPABILITY AND CAREER
Qualifications:
· Proven working experience as a Logistics Manager
· Record of successful distribution and logistics management °
· Demonstrable ability to lead and manage staff
· MS Offices Proficient ex: Excel, Powerpoint, Word
· GPS Software Experience is an advantage
· Proficient in standard logistics software
· Excellent analytical, problem-solving solving and organizational skills
· Ability to work independently and handle multiple projects
· BS in Business Administration, Logistics, or Supply Chain
2. LOGISTICS ADMIN
They are responsible for supporting the coordination, planning, execution, and monitoring of supply chain operations in an organization.
Responsible in the area of shipping and performing receiving functions and may be involved in providing support to the Logistics supervisor/manager in all aspects of logistics operations
DUTIES AND RESPONSIBILITIES:
- Assisting daily dispatch.
a. Assist in recording and monitoring documents.
b. Check the dispatch plan on Geotab.
c. Helps on requesting documents for dispatch.
d. Assist the logistics manager with some decision-making to ensure a smooth flow of operation.
- Submission of Timesheet with Supporting Documents (Hard copy) to Timekeeping every Saturday
- Daily update of attachments per folder in One Drive, such as (Sales Order, Delivery Note, Confirmation Note & Geotab Trip History)
- Daily Updating of Timesheet Summary in One Drive.
- Daily submission of Dispatch plan with supporting documents every 1:00 pm to Timekeeping
- Daily Submission of Actual Dispatch before 5 pm with complete attachment to Timekeeping
- "I am the designated point of contact for customers regarding any logistics-related issues. I am here to help and provide timely solutions to all logistics-related inquiries."
- Coordinates daily activities of Equipments using GPS system (GEOTAB)
- Collaborate with Customer service, Quality, Planning, and Purchasing to resolve issues or queries they may have
- Coordinates with all routine vehicle maintenance of the delivery truck, services and heavy equipments.
- Provide support to the Sales, Warehouse, Purchasing and Operation Department in servicing clients as required.
- Provide suggestions within area of responsibility to Logistics Supervisor as needed
- Maintaining detailed record of vehicle servicing and inspection.
- Monitor all Violations and issue I.R if necessary.
- Support effective resource management and assist with the planning of work within dispatch through load creation
- Provide support and coordination for incoming goods and daily dispatches as per requirements
- Provide support in the planning and tracking of the shipment of finished orders.
- Responsible for keeping appropriate documentation of all Vehicle/Equipment
- Responsible for the interpretation and analysis of relevant departmental KPIs and offer recommendations accordingly
- Stay current with knowledge of dispatch, logistics planning, and effective monitoring of the actual dispatch.
- Monitoring and managing the list of all installed systems and devices
- Maintains records of Diesel consumptions and Equipment utilization.
- Demonstrates great customer service skills, listens carefully, and exercises patience
- Responsible for providing accurate reports to track performance and enable decision making
- Actively participate in continuous improvement and problem-solving activities within the unit.
- Provides phone, live chat, or in-person support, depending on the organizations scope
- Provides weekly report to Immediate Superior religiously
C. EDUCATION, TECHNICAL CAPABILITY AND CAREER
- The ideal candidate must have the following qualifications:
- - Must be male or female
- - Possess a degree in Logistics Management, Computer Science, or a related field
- - At least 2 years of experience in a logistics or related field
- - Have extensive knowledge of computers, software, and hardware
- - Must possess exceptional IT skills, particularly in Microsoft Excel
- - Excellent communication and interpersonal skills
- - Strong diagnostic and problem-solving skills
- - Ability to establish and maintain relationships to effectively carry out their duties
- - Must be able to work well under pressure
- - Good knowledge and familiarity with transportation modes
- - Understanding of SAP system, as well as knowledge of managing paper and electronic files
- - Must have planning and multitasking skills to effectively prioritize and handle multiple assignments
