Anatolia American University - ULE is seeking a full-time Administrative Officer to support the Associate Dean of Academics and Faculty (School of Business, School of Science & Technology, and School of Humanities & Social Sciences). The Administrative Officer will provide high-level administrative and operational support. This role serves as a central coordination point across faculty, students, university administration, and external partners, enabling the Associate Dean of Academics and Faculty fulfill strategic, academic, and community-facing responsibilities effectively.

Essential Duties and Responsibilities:

  • Prepare briefings, reports, and presentations that support institutional planning and goal-setting.
  • Draft, proofread, and distribute official correspondence, announcements, and internal communications.
  • Manage the Associate Dean’s calendars, schedule meetings, and coordinate travel arrangements.
  • Support the Associate Dean of Academics and Faculty in building and maintaining relationships with community partners, other universities, and outside constituencies.
  • Coordinate logistics for partnership meetings, institutional visits, and community-facing events.
  • Assist in preparing documentation for evaluation cycles.

  • Liaise with program coordinators on scheduling, policy updates, and curriculum-related correspondence.
  • Support the coordination of accreditation and validation reviews and exam boards, maintaining organized records, tracking deadlines, action items and evidence portfolios.
  • Coordinate administrative aspects of faculty recruitment, including scheduling interviews and managing application files.
  • Provide administrative support for external grants and development projects, including deadline tracking and document preparation.
  • Coordinate with internal offices and external partners on special programs and funded initiatives.
  • Process expenditure requests (procurement software) for faculty development and maintain financial records.
  • Support student recruitment initiatives and assist in coordinating retention efforts.
  • Assist in overseeing student advising logistics and internship coordination.

Education and/or Experience

  • Bachelor’s degree.

  • Minimum 2–3 years of administrative experience, preferably in a higher education setting.
  • Excellent written and verbal communication skills in English.

  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Proficiency in Microsoft Office Suite and academic information systems.
  • Demonstrated discretion and sound judgement in handling confidential information.

Qualifications/Qualities

  • Ability to manage and develop relationships with stakeholders from a variety of backgrounds.
  • Excellent interpersonal skills, including the ability to liaise with people at all levels and of all ages and backgrounds.
  • Excellent time management and organizational skills, with the ability to multitask and prioritize as required, delivering tasks on time.
  • Ability and willingness to work flexible hours as required in the execution of job responsibilities.

This position requires a high degree of initiative, discretion, and professionalism. The Administrative Officer to the Associate Dean of Academics and Faculty will work closely with the Associate Dean of Academics and Faculty and must be capable of handling sensitive information and competing priorities in a dynamic academic environment.
