Summary
Provide administrative support to ensure the efficient operation of the office and programs, contributing to a high-quality experience for students, parents, and staff.
You will report to: Director of AES Afterschool Programs and Rainbow
Contract details (full time/, open-ended): 3rd March - 18th August/ Full Time Position. Option to extend contract for an additional twelve-month term starting August 19, 2025.

Educational Background
Bachelor's Degree (preferably in accounting, financial management, etc)
Skills, Knowledge and Abilities
Administrative Support
Act as the primary point of contact for parents, teachers, coaches, and staff regarding program-related matters.
Manage daily communications, including sending emails and responding to phone calls and inquiries.
Coordinate with internal departments such as the transportation office, kindergarten registrar, accounting office, LINK registrar, STEAM, and SAAK programs.
Student Data Management
Oversee student applications, manage waiting lists, and track attendance records.
Maintain and update bus lists in collaboration with the transportation officer.
Provide accurate student participation data to the Operational and Cross Functional Division Director monthly.
Daily Operations
Prepare and distribute attendance lists to staff and coaches daily.
Notify assistants and update them on any attendance or bus changes.
Ensure seamless coordination of program logistics, including bus schedules and attendance modifications.
Financial Duties
Process payments from parents, issue receipts, and manage financial communications.
Verify fees and financial records with the accounting office.
Maintain detailed records of all transactions and financial information.
Event Coordination
Assist the Afterschool and Rainbow Coordinator in organizing events and special activities related to the program.
Rainbow Program Responsibilities
Before the Program
Manage the registration process, including sending communication to parents and arranging interviews with teachers and bus assistants.
Provide parents with program details, including costs and general information.
Oversee payment processing and issue receipts.
Cross-check charges with the financial department.
Coordinate with the transportation office to finalize bus stops and routes.
Update Athena with bus route information and student group assignments.
During the Program
Handle daily inquiries from parents about bus changes, early departures, or specific student needs (e.g., food allergies).
Communicate changes to teachers, bus assistants, and relevant staff.
Organize and conduct meetings with bus assistants to ensure smooth operations during student pick-up and drop-off.
Continue to manage financial duties, including handling any ad-hoc payment issues.
After the Program
Conduct financial follow-ups and resolve outstanding matters with parents and the financial department.
Required Skills and Competencies
Strong organizational and multitasking abilities.
Ability to work in a fast-paced environment
Excellent communication skills, both written and verbal (Greek and English).
Good knowledge of Microsoft Office Suite, database management, and financial systems.
Ability to maintain accurate records and handle sensitive information with discretion.
Collaborative mindset and ability to work effectively across departments.
Work Environment
Fast-paced administrative environment requiring flexibility and attention to detail.
Regular interaction with parents, staff, and students to ensure smooth program operations.
Experience
A minimum of 3 years of experience in a relevant position/field is required
Experience in managing financial duties is an asset
