Job Description Inventory Manager

Purpose of Position:

  • Manages and controls all aspects of inventory, including stores, replenishment, and personnel, ensuring efficient and effective results.
  • Ensures that hotel supplies, food, beverages, consumables, uniforms, chemicals, and equipment are managed efficiently.
  • Creates a guest-oriented service culture that enhances guest satisfaction and repeat business, contributing to increased revenue and profitability.

Responsibilities:

  • Prepare and manage order requests for hotel stores items, ensuring timely submission to the Logistics Department.
  • Cross-check daily department requisitions, ensuring accurate entry into the inventory system (MXP).
  • Oversee physical inventory procedures, ensuring accurate stock levels for Food & Beverage (F&B) and hotel supplies.
  • Coordinate loading days, arranging adequate staff to assist in receiving and storing goods efficiently.
  • Ensure correct Stock Rotation Procedures (FIFO) are implemented and followed.
  • Supervise equipment receiving procedures, verifying invoices against actual deliveries.
  • Maintain and track hotel supply budgets, updating the Financial Officer and Hotel General Manager on forecasts.
  • Monitor slow-moving and non-moving stock, recommending strategies for optimized usage.
  • Assist Department Heads in planning future orders, providing budget updates and stock level reports.
  • Lead and support a multi-cultural team, maximizing crew satisfaction, productivity, and retention.
  • Conduct daily operational meetings ("The Daily Reunion") to provide updates on inventory performance.
  • Ensure compliance with Maritime Labor Convention (MLC) regulations, including crew training and performance reviews.
  • Wear Personal Protective Equipment (PPE) and follow safety protocols.
  • Maintain professional grooming standards as per Vikings Image and Uniform Policies.
  • Secure company property, particularly during rough weather conditions, to prevent loss or damage.
  • Stay knowledgeable about ports of call, shore excursions, and shipboard activities.
  • Support achieving Inventory Department KPIs (quality and financial goals).
  • Follow safety and security procedures, participating in fire prevention and evacuation drills.
  • Perform additional duties as assigned by supervisors.

Qualification (Your Profile)

  • Minimum 2 years of experience as an Inventory Manager or similar role.
  • Previous shipboard experience is required.
  • Extensive knowledge of hotel food, beverages, consumables, uniforms, chemicals, and equipment.
  • Experience in storeroom operations, including cost control, waste management, and stock tracking.
  • Fluent in English strong written and verbal communication skills.
  • Ability to speak additional languages is an advantage.
  • Strong leadership and team-building skills, with experience in multi-cultural team management.
  • Hands-on experience with inventory management systems (MXP preferred).
  • Strong administrative skills, proficient in PC-based databases, spreadsheets, and word processing.
  • Highly organized, detail-oriented, and able to handle high-pressure situations.
  • Comprehensive knowledge of Public Health Policies and Safety Regulations.
