Job Summary

The Administrative Assistant manages document flow, handles incoming and outgoing mail, and performs various administrative tasks to support our legal team. This role is crucial in ensuring timely distribution and response of correspondence and maintaining document filing and retrieval systems. The Virtual Administrative Assistant will assist in the preparation and organization of documents for immigration cases and facilitate communication between clients, attorneys, and other team members.

Essential Responsibilities and Duties

Handle incoming and outgoing correspondence, including emails, letters, packages, and legal documents, ensuring timely distribution and response
-Manage document filing and retrieval systems, both electronically and physically
-Coordinate the sending and receiving of legal documents, ensuring accuracy and confidentiality
- Assist in the preparation and organization of documents for immigration cases
-Maintain and update client records and case management systems
- Perform general administrative duties such as data entry, copying, scanning, and organizing files
- Facilitate communication between clients, attorneys, and other team members, providing translations as needed
- Manage office supplies and handle other administrative tasks as required
- Additional related duties as required

Required Qualifications

- 
Fully bilingual in English and Spanish with excellent communication skills
- Proven administrative experience, ideally within a legal or immigration setting
- High proficiency in office technology and software (e.g., MS Office Suite, case management software)
- Excellent organizational skills with a keen eye for detail
- Ability to handle sensitive information with a high degree of confidentiality
- Strong time-management and multitasking abilities
- High school diploma required; additional qualifications in Office Administration are beneficial
- Self-motivated and capable of working independently in a remote setting

- Adaptability and Initiative: Demonstrate flexibility and initiative in handling diverse administrative tasks and addressing ad-hoc requests as required.
