Job Summary

The Legal Assistant Stateside provides critical administrative and clerical support to attorneys and paralegals in an immigration law practice. This role helps ensure smooth daily operations by managing case files, preparing standard forms, assisting with client communication, and coordinating schedules and deadlines. The Legal Assistant is an integral part of the legal team, contributing to efficient case management and high-quality client service.

Essential Responsibilities and Duties

  • Prepare and draft standard immigration forms, client letters, and legal correspondence.
  • Organize, maintain, and update client files (physical and electronic).
  • Schedule client meetings, attorney calendars, and case deadlines.
  • Assist in gathering supporting documentation from clients for case preparation.
  • Input and update data in immigration case management software (e.g., Docketwise, LawLogix, INSZoom).
  • Draft initial client communications and send reminders under attorney/paralegal supervision.
  • Monitor case progress, flag upcoming deadlines, and assist with filings.
  • Conduct basic factual research when requested.
  • Provide general administrative support to the legal team, including scanning, filing, and correspondence.

Required Qualifications

  • Associate degree or equivalent work experience.
  • 1+ year of legal or administrative support experience (immigration law preferred).
  • Strong organizational and time-management skills with attention to detail.
  • Proficiency in Microsoft Office Suite and immigration case management software.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Excellent written and verbal communication skills.
  • Bilingual (Spanish/English) highly preferred.

Preferred Qualifications

  • Experience in a law firm or legal services environment.
  • Knowledge of U.S. immigration procedures and forms.
  • Legal Assistant or Legal Secretary Certificate.

Key Performance Indicators

1. Case Management & Documentation

  • Accuracy rate of prepared forms, letters, and filings (target: 95%+ error-free).
  • Timeliness of preparing and submitting client documentation before deadlines.
  • Percentage of client files that are fully organized and up to date.

2. Administrative Efficiency

  • Average response time to attorney/paralegal requests.
  • Turnaround time for scheduling appointments and updating case management systems.
  • Number of cases successfully tracked without missed deadlines.

3. Client Support & Communication

  • Response time to client inquiries (within 2448 hours target).
  • Client satisfaction scores/feedback regarding communication and professionalism.
  • Number of complete document packets received from clients on first request.

4. Team Collaboration & Reliability

  • Attendance and punctuality record (target: 95%+).
  • Number of cases where assistant proactively identified potential issues and escalated to paralegal/attorney.
  • Contribution to team workload balance (e.g., completing assigned tasks on time, supporting colleagues when needed).

5. Compliance & Confidentiality

  • Adherence to firms confidentiality and data privacy standards (zero breaches).
  • Compliance with USCIS, DOS, and immigration-related filing requirements.

Work Environment

  • Hybrid Role based in San Antonio, TX.
  • Combination of in-person meetings and remote work. Occasional travel is required for stakeholder engagement, community events, and conferences.
