Job Summary

The Office Supervisor is responsible for overseeing the front desk's daily operations, ensuring an exceptional client experience, supervising the Front Desk Concierge team, ensuring operational alignment, scheduling, and daily site operations. This role ensures operational efficiency, consistency in service delivery, and adherence to company standards while providing leadership, coaching, and performance management for front desk staff.

The Supervisor also serves as the escalation point for complex client situations, operational challenges, and workflow improvements.

Essential Responsibilities and Duties

Team Leadership & Supervision

  • Supervise and support Front Desk Concierge team members across assigned locations

  • Provide onboarding and training for new front desk team members

  • Conduct regular coaching and performance feedback sessions

  • Monitor team productivity, attendance, and performance standards

  • Assist with scheduling and coverage to ensure front desk coverage at all times

  • Promote a positive, professional, and client-focused team environment

  • Address performance concerns and escalate to management when necessary

Client Experience Oversight

  • Ensure clients and visitors receive professional and welcoming service

  • Monitor quality and consistency of client interactions

  • Serve as an escalation point for complex client concerns or complaints

  • Implement service standards and client experience improvements

  • Ensure professionalism in communication, appearance, and conduct

Communication Management Oversight

  • Monitor phone coverage and response times

  • Ensure timely handling of emails, voicemails, and walk-in inquiries

  • Audit message accuracy and communication quality

  • Coordinate communication between the front desk and legal teams

Scheduling & Operational Coordination

  • Oversee appointment scheduling and calendar management

  • Monitor scheduling conflicts and resolve operational issues

  • Coordinate conference room usage and office resources

  • Ensure accurate tracking of appointments and client flow

Administrative & Operational Oversight

  • Supervise administrative duties, including:
    • Filing

    • Data entry

    • Document preparation

    • Mail distribution

    • Office supply management

  • Ensure consistency and accuracy in administrative processes

  • Monitor workflow efficiency and identify improvement opportunities

Office Management & Facility Oversight

  • Ensure front desk and lobby areas are professional and organized

  • Maintain office supply levels and operational readiness

  • Monitor visitor sign-in procedures and office security compliance

  • Coordinate with IT for equipment or software issues

  • Oversee monthly site inspections

  • Coordinate with Facilities and HR Leadership for EHS concerns & vendor scheduling

Process Improvement & Reporting

  • Identify operational inefficiencies and recommend improvements

  • Track front desk metrics and report performance trends

  • Develop and maintain standard operating procedures (SOPs)

  • Assist with multi-location operational standardization

Confidentiality & Compliance

  • Ensure proper handling of confidential client information

  • Maintain compliance with company policies and procedures

  • Train team members on confidentiality protocols

Required Qualifications

  • Bilingual (English & Spanish)

  • 2+ years of customer service, front desk, or administrative experience

  • 1+ year of leadership, supervisory, or team lead experience preferred

  • Proficiency in Microsoft Office Suite

  • Strong communication and interpersonal skills

  • Strong organizational and multitasking abilities

  • Professional demeanor and leadership presence

  • Conflict resolution and problem-solving skills

Preferred Qualifications

  • Experience in a legal, corporate, or professional services environment

  • Experience supervising multi-location teams

  • Experience with scheduling systems or visitor management tools

  • Customer service or leadership certification

  • Process improvement or operations experience
