Job Summary
The Strategy Specialist Assistant supports the Strategy Specialist by handling administrative tasks, client interactions, appointment management, and contract sales assistance. Working within a law firm setting, the Assistant ensures efficient operations, supports sales efforts, and helps maintain a client-centered approach to meet firm objectives.
Essential Responsibilities and Duties
- Client Interaction: Greet clients, collect necessary documents and fingerprints, address inquiries, and provide information on services.
- Administrative Support: Organize client documentation, manage files, and confirm appointments for the Strategy Specialist.
- Sales Support: Assist in the sales process by explaining contract terms, benefits, and following up with prospective clients under the Strategy Specialists guidance.
- Appointment Management: Coordinate appointments, send reminders, and cover client meetings in the Strategy Specialist's absence.
Note: Essential functions may be modified as required to support business needs.
Required Qualifications
- High school diploma or equivalent.
- Bilingual in Spanish and English (required for effective client interaction).
- Communication Skills: Excellent verbal and written communication skills, especially when interacting with clients.
- Organizational Skills: Strong ability to manage time, prioritize tasks, and maintain accurate records.
- Customer Service: Skillful at fostering positive client relationships, supporting a client-centered experience.
- Sales Support Motivation: Highly motivated to assist in achieving sales goals with a strong track record in administrative or sales support.
- Empathy and Rapport: Ability to discuss sensitive topics with clients tactfully and professionally.
Preferred Qualifications
- Further education in business administration, sales, or related field.
- Previous experience in administrative roles, customer service, or sales support.
- Proficiency with Microsoft Office and office software.
Key Performance Indicators
- KPI #1: Conversion Rates
- Description: Track the ratio of appointments scheduled to sales closed.
- Target: Consistently support team goals by achieving high conversion rates.
- KPI #2: Quality Assurance (QA) and Survey Scores
- Description: Maintain a high proficiency level and meet quality goals in client interactions and administrative tasks.
- Target: Sustain QA and client satisfaction ratings above 90%.
