Job Summary

As an Intake Specialist, you will play a crucial role in the client onboarding process by being the first voice and contact for individuals seeking immigration legal assistance. Your role blends customer service, sales, and administrative precision to ensure every lead receives a supportive and efficient intake experience. You’ll conduct eligibility screenings, encourage bookings, and maintain high-quality data tracking and follow-ups.

Essential Responsibilities and Duties

  • Screen Incoming Leads: Conduct eligibility assessments to determine if potential clients qualify for immigration legal services.
  • Client Engagement: Use excellent customer service and interpersonal skills to ensure a compassionate, professional, and helpful experience.
  • Profile Management: Ensure client profiles are accurately completed and updated in the case management system.
  • Disposition Tracking: Maintain accurate records of each interaction, including lead status, outcomes, and follow-up actions.
  • Outbound Follow-Up: Make follow-up calls to leads as needed, based on pipeline stage and business priorities.
  • Collaboration: Work closely with attorneys, case managers, and other team members to support a smooth intake-to-consultation process.


Required Qualifications

  • At least 1 year of experience in customer service and sells

  • Bilingual in English and Spanish (spoken and written).

  • Comfortable with outbound calling and client follow-up processes.

  • Experience using Google Workspace tools, including Google Docs, Sheets, and Forms.
  • Strong communication and active listening skills.
  • Strong adaptability, a positive attitude, emotional intelligence, and excellent organizational skills to manage dynamic client needs and multitask effectively.

Preferred Qualifications

  • Ability to manage a high volume of calls while maintaining attention to detail.
  • Prior experience working in an immigration law firm or with immigration-related services.


Technical Requirements

  • Computer: Intel i5 (8th Gen+) or AMD Ryzen 5 (3000+), or Mac M1+. Min. 8 GB RAM, 256 GB SSD.

  • OS: Windows 11 or macOS.

  • Monitors: Two screens required.

  • Headset: USB wired or wireless.

  • Internet: Wired connection, at least 20 Mbps.


Key Performance Indicators

  • Number of clients who signed up for legal services as a direct result of intake efforts.
  • Percentage of qualified leads that convert into booked consultations or retained clients.
  • Average score from internal call or intake audits, measuring communication, accuracy, and client service.
