Position Overview
Tiona Homes is seeking an organized and detail-oriented Construction Support Administrator to join our team in Houston. In this role, you will serve as the central operational hub for our office: ensuring permitting packages clear local municipalities efficiently, CAD and warranty data stay organized, and day-to-day office operations run seamlessly.

Key Responsibilities
Permitting & Plan Distribution
- Prepare, submit, and track permit applications with the City of Houston, Harris County, and surrounding municipalities/MUDs.
- Monitor permit approval status and proactively resolve municipal comments or documentation delays.
- Receive, archive, and distribute approved plan sets, revisions, and site documentation to field superintendents and trade partners.
Systems & Departmental Support
- Assist with basic data entry, file organization, revision logging, and document archiving.
- Support customer service requests, tracking work order statuses, and scheduling trade repairs.
- Maintain central digital databases and document control systems to ensure project records are complete and up to date.
HQ Operations & Business Coordination
- Manage general office inventory, order supplies, receive mail/packages, and maintain a clean, organized office environment.
- Serve as the main point of contact for office incoming phone calls and guest walk-ins.
- Coordinate property listings (MLS updates, flyer creation, inventory home status tracking) with our sales and marketing teams.
- Collect, track, and follow up on subcontractor documentation (W-9s, Certificates of Insurance/COIs, lien waivers) and assist accounts payable with invoice verification.
Qualifications & Requirements
- Experience: 2+ years of administrative or operational support experience, preferably within homebuilding, residential construction, or real estate.
- Permitting Knowledge: Familiarity with Houston/Harris County permitting processes and online portals (e.g., City of Houston Permitting Center) is a major plus.
- Tech Skills: Proficient in Microsoft Office (Excel, Word, Outlook); familiarity with builder management software (e.g., Buildertrend, CoConstruct, JobTread, or similar CRM) and MLS is preferred.
- Communication: Excellent written and verbal communication skills; bilingual proficiency (English/Spanish) is highly desirable in the Houston market.
- Key Traits: High attention to detail, proactive problem-solver, and the ability to multitask in a fast-moving environment.
